Arkansas Center for Data Sciences (ACDS) is looking to add a Project Manager to our internal team! This position will directly support the Registered Apprenticeship program & report to The Director of Project Management and Grant Administration at ACDS.
About ACDS:
We help Arkansas job seekers find stable, good-paying careers at no cost through IT training programs and career coaching. ACDS is a nonprofit that offers solutions to Arkansans that are interested in an IT career. We help connect education and guide participants towards apprenticeships. Our DOL registered apprenticeship programs provide the curriculum to teach the required general skills. A portion of the curriculum is customizable, allowing corporations to teach their own specific culture, processes, and tools. Our non-profit helps individuals, employers, institutions, and community partners grow technical skills and get employed in Arkansas.

A registered apprenticeship is an employer-driven model that combines on-the-job learning with related classroom instruction that increases an apprentice’s skill level and wages. Classroom instruction is tailored to a company's specific technologies, processes, and culture. Whether you are a new hire or current employee, your apprenticeship training curriculum is tailored to your specific position and the technologies you need for success. Job Duties
- Communicate with employers to set up kickoff meeting once hand off has been received from Client Development
- Add notes and meeting notes to internal CRM (Hubspot)
- Send out welcome email with important program documents and paperwork to be signed by employer
- Create agendas for each kickoff meeting and for subsequent meetings
- Appendix A Creation
- Work with the employer, Client development, and Training to ensure job description matches the occupationÂ
- Work with DOL to pull and update the correct Appendix A for each occupation
- Send copy of Appendix A to State when requested for ITA Grant Reimbursement
- Apprentice Onboarding & Registration
- Send out onboarding emails to welcome apprentices to the program
- Send out DocuSigns with onboarding paperwork to be filled out by apprentices
- Track documents and checking paperwork for accuracy
- Register apprentice into the DOL’s RAPIDS system: Ensure that all DOL, apprentice, and employer files are maintained for compliance; Update spreadsheets for cohort, onboarding employers and scheduled cohort starts and stops
- Create ITA and Invoices for state grant fund reimbursement
- Employer Onboarding
- Status checks with trainer, apprentice, mentor, and employer (some of this will behanded over to the training department for training and mentor status checks)
- Certificate ceremony coordination at the end of training
- Set up the ceremony date, email the agenda, update Powerpoint with all trainer, employer and apprentice information
- Create print and mail Certificates of Completion
- Generate Tax documentation for all Employers who have active apprentices in the last year and provide to Employers
Operations Duties:
- Maintain and reconcile apprentice accounting budget
- As checks come in, account for them on spreadsheet and update balance owed by employers and state grants
- Invoicing for various receivables (e.g. - Employer invoices for training, grant invoices for reimbursement)
- Monitor Admin email account, forward or answer emails
Requirements
- Intermediate MS Excel skills (pivot tables, formulas etc)
- Must be based in Arkansas with large preference to Central Arkansas
- Eligible to work in the US without sponsorship
- Ability to work 40 hours M-F during standard business hours

- Strong communication skills to lead meetings with internal and external stakeholders
- Super detailed note taker to document action items and follow-up with attendees
