Qualifications: What you need to bring
- Minimum of 5 years in office environment and working with spreadsheets and database reporting. AS400 experience helpful but not required. Prior trucking industry experience helpful but not required. Pivot tables and other advanced Excel skills a priority.
- High School Diploma or GED. College degree preferred
- Must be self-motivated, team player, able to work successfully in a fast-paced, high-volume, transaction-based operation and consistently meet deadlines. Excellent organizational skills, communication skills (oral and written), and Customer Service skills are essential. Individuals must also be proficient in the use of MS Word and Excel, as well as basic office equipment (copy machine, fax machine, telephones).

Job Responsibilities: What you will do
Ensure tractors are properly equipped with necessary toll tags, Maintain processes that are efficient, eliminate unnecessary waste, minimize possibility of fraud, and ensure full recovery of tolls. Prepare monthly reports for tolls and perform reconciliations with various states and issuing entities; streamline processes in order to create efficiencies and cost savings; assist with identifying customer opportunities for recovery.
- Responsible for the issuance of all toll transponders for new trucks, as well as transfers of transponders between trucks. These include PrePass +, FL, KS, OK, other special state transponders plus Canadian toll cards.
- Responsible for the notification of cancellation to Prepass and the states once the tags/transponders are removed from a truck.
- Maintain appropriate inventory of Prepass and state toll tags ensuring accuracy of inventory by maintaining accurate inventory lists and conducting physical inventories on a regular basis.
- Maintain accurate database of all toll tags issued by tractor assigned. Ensure Prepass and state databases are updated timely and reconcile databases on a weekly basis.
- Ensure coordination with Owner-Operator team to ensure proper issuance of tags. Responsible for notifying settlements for the initial charge for the Prepass transponders/state tags, and the on-going weekly fees to Owner-Operator for the use of the tags. Reconcile at least weekly between database and settlements to ensure all tags issued to owner-operators are being recovered through fees.
- Ensure coordination with the shops to obtain notification when tags are removed. Update databases on a daily basis for deletes and transfers. Manage return inventory from shops back to Prepass for returned transponders.
- Reconcile monthly invoices to toll tag database to ensure invoice accuracy (i.e. the number of tags assigned are accurate, the tolls charges are for Swift issued tags, etc.).
- Reviews transponder usage for fraud and delete transponders as necessary.
- Manages and pays approximately 20 million annually in transponder and toll charges.
- Handles daily calls regarding toll and/or weigh station issues.
- Researches and ensures payment of all toll violations.
- Works with Driver Leaders to assist in driver understanding of toll rules.
- Identify where full price tolls are charged and work with drivers to rectify situation (i.e. issue new transponder if defective) and assist with obtaining refunds from the states.
- Identifies cost savings for permits through truck usage; assists with development of trend analysis for toll citations and for recommendations of cost reductions. This includes monthly reports of all toll citations received and comparison of yearly figures.
- Perform additional duties as assigned by leadership.
