Job Description
This position requires on-site work from our Chicago office at least four days per week.
Your Core Responsibilities:
- Provide day-to-day administrative support for up to four senior managers.
- Manage complex calendars schedule meetings and coordinate across time zones.
- Coordinate on-site logistics for meetings and presentations such as audio/visual meeting rooms agendas and meals as needed.
- Manage travel logistics including accommodations transportation and meals according to IMC's policies.
- Manage and submit business expenses and prepare reports on such as needed.
- Assist stakeholders with internal and external communications activity and event planning and space planning.
- Liaise with Events team on event logistics venues transportation menus etc.
Your Skills and Experience:
- 4+ years of experience in an administrative role supporting senior managers; experience supporting multiple people preferred.
- Must be highly organized and detail-oriented with an ability to manage multiple individual preferences and requirements.
- Excellent written and verbal communication skills.
- Strong time management skills and an ability to organize and coordinate multiple concurrent projects.
- Proficiency with MS Office suite (Outlook Excel Word) and an aptitude for learning new software and systems.
- Flexible team player willing to adapt to changes and tackle new challenges.
- Ability to handle confidential and sensitive information with discretion.
