The Administrative Assistant will provide comprehensive administrative support to partners, consultants, and department heads at Marquette Associates including calendar management, expense reporting, event coordination, and other day-to-day tasks as assigned.ย
Job responsibilities will include, but are not limited to:
- Coordinate domestic travel including accommodations, reservations, and ground transport.
- Manage calendars by providing meeting, conference, and event scheduling support.
- Process expense reports for partners, consultants, and others as assigned.
- Coordinate events such as client outings and company group activities including but not limited to dining and social experiences.
- Input and track data in Salesforce. Provide training to new employees and members of the administration team.
- Assist administrative team with front desk coverage, scheduling, and other tasks.
- Assist with non-profit client events and consultant board activities.
- Liaison with consultants and accounting Team to process sponsorship requests.
- Assist with various data collection projects.
- Proactively check with and coordinate between leaders.
- Provide front desk coverage.
- Perform other administrative tasks as assigned.ย
Qualifications
- BA/BS in Communication, Business Administration or other relevant field.
- Proficiency in Microsoft Office; ability to create and edit Word, Excel, or PowerPoint documents.
- Experience with CRM database is required; experience with Salesforce is highly preferred.
- Strong communication and writing skills.
- Demonstrated ability to work in an organized manner and manage time efficiently and effectively.
- Ability to maintain confidentiality.
- Professional demeanor, approachable, proactive, and adaptable to change and changing priorities.
- Ability to interface comfortably with all levels of management.
- Ability to be physically present in the Chicago office according to the firmโs Hybrid Work Policy. Flexibility to be physically present Monday โ Friday each week if front desk coverage is needed.ย
