The Administrative Assistant will play an integral part of our Distribution Center Operations. This role will interact directly with customers, vendors, drivers, and many internal departments throughout the organization. This person will ensure that dock scheduling is completed correctly, close out PO receipts, validate records, answer phone calls and emails, and various other general office business functions. This role will also aid in recruiting, phone screening, interview scheduling, and ensure visitors feel warmly welcomed, and know where to go when coming into the building.

Primary Job Responsibilities:

  • Answer phone calls and emails
  • Schedule inbound trucks according to receiving hours and priority of material
  • Data validation
  • Active participation in screening applicants and scheduling interviews
  • Keep office area and tasks clean and organized physically and systematically
  • Receive and process payments
  • Oversee DC message folder to facilitate information
  • Research system transactions as needed for problem solving
  • Invoice, PO receipt, and payment reconciliation
  • Onboarding Coordination
  • Execute order changes as needed
  • Addressing receiving disputes such as wrong items, shortages, overages, etc…
  • Any other various project work and general business tasks that arises to support the DC operations
  • Provide support with any other general office tasks as needed

Required Experience and Skills:

  • Previous office admin experience
  • General computer skills
    • Microsoft Office Suite (Outlook, Excel, Word)
  • Ability to work with many different departments and types of people
  • Excellent communication skills
  • Very detail oriented
  • Mindset of seeing something that can be fixed or made better, and working to improve things
  • Customer Service
  • Organized
  • Strong sense of urgency
  • High School Diploma/GED

Preferred Experience and Skills:

  • Accounts receivable and payable
  • Human Resources interest or background
  • Associates level degree or higher
