Administrative Assistant
Job Description
Job Summary:
As the Administrative Assistant, youβre responsible for overseeing the daily operations of an office and its various departments. Duties include, but are not limited to, assisting and communicating with department heads and relaying important information.
Essential Job Functions:
- Assist management team with administrative tasks
- Answer phones/route calls/take messages/create tickets where needed
- Send/Receive of mail and packages
- Distribute/scan mail to appropriate departments
- Help manage company vehicle fleet: including, but not limited to, distribution of cars, adding to insurance, and fuel cards/reports
- Entering new client information and contract details into sales system
- Manage office supplies including break room and supply station
- Order supplies and snacks for office
- Inventory updates for different departments and Executech apparel
- Monthly cell phone bill breakdown for AP and entering Divvy receipts
- Assist with event planning such as ordering lunch, research hotels, and activities.
- Coordination of employee apparel and ship new hire items
- Other duties as assigned
Knowledge, Skills and Qualifications:
- Knowledge of office equipment (multi-line phone system, copiers, fax, printers, etc.)
- Excellent organizational, written, and verbal communication skills a must
- Professional, pleasant, and patient in demeanor
- Valid Driverβs License
- Exceptional customer service orientation
- Must have demonstrated maturity in judgment and ability to provide guidance to others
- Must be flexible, prioritize workload, able to manage multiple tasks, and have strong attention to detail
- Ability to be exceptionally self-reliant and self-directed; Possess the ability to work with minimal supervision
- Ability to shift focus and priorities throughout the day
- Ability to effectively handle stress and pressure consistent with the job duties and industry
- 3+ years administrative experience in a corporate setting
- Proficient in Microsoft Office Suite
- Can handle sensitive information with the highest degree of integrity and confidentiality
Typical Working Environment:
- Work in a temperature-controlled office environment
- Low to Moderate noise levels consistent within an office environment; staff, phones, collaborative dialogue

- Computer
- Multi-function printer/scanner
- Desk Phone
- Hand Truck
Physical Demands:
- Constantly talk, hear, sit, use keyboard/ten key, fine dexterity with hands and repetitive hand motion.
- Frequently lift and carry up to 20 lbs., push/pull up to 20lbs, reach outward, walk-normal surfaces, grasp, and hold.
- Occasionally lift and carry between to 21-30lbs., push/pull between 21-30lbs, reach overhead, kneel, climb, and stand.
Hours of Work:
Monday through Friday 8 am to 5:30 pm
