About the RoleiCapital is looking for an Administrative Assistant to provide administrative support to multiple Managing Directors. This position will serve as a point of contact for clients, and other external constituencies. The person in this role will often be communicating, scheduling, and collaborating with our team, clients, potential clients, and investors. In addition, this role will act as the Facilities Coordinator. They will bring the Boca Raton office to life by maintaining daily operations and supporting employee experience initiatives.
ResponsibilitiesExecutive Assistant:
- Manage the calendars of Executive Team members with a high level of detail coordinating and prioritizing daily tasks.
- Arrange complex and detailed travel plans.
- Process expense reports in a timely manner.
- Manage logistics for meetings and other company events.
- Format information for internal and external communications such as memos, emails, presentations, and reports.
- Help move along deliverables, facilitate special requests, and contribute to and execute last-minute ideas.
- Handle occasional personal tasks during the workday (i.e., ordering lunch).
Facilities Coordinator:
- Work to ensure all aspects of the office are clean and functioning properly.
- Respond to service requests promptly.
- Support daily operations:
- Maintain office supplies, snacks, groceries, and beverages for employees
- Manage ingoing and outgoing deliveries
- Aid in supply ordering
- Liaise with building management and external vendors (organizing deliveries, COI’s, etc.).
- Maintain a safe office environment by following company and building procedures.
- Ensure a welcoming and organized entry experience for all guests and new hires.
- Assist with planning, setup, and breakdown of internal and external events.
- Assist with ad hoc projects as requested.
- Undergraduate college degree
- Prior experience as an Executive Assistant working with C-suite level members
- Proficient with Microsoft Office (Word, Outlook, Excel, & PowerPoint)
- Strong attention to detail with a high level of confidentiality
- Excellent written, verbal, and interpersonal communication skills
- Track record of managing schedules and processes in a fast-paced environment
- Comfort operating within a dynamic environment and executing in situations where paths are uncharted
- Able and willing to provide executive support beyond the scope of a typical workday
