Job Description
TITLE: Administrative Assistant
DEPARTMENT: Administration
LOCATION: Fargo, ND (Hybrid)
POSITION OBJECTIVE: Provide administrative assistance to AFBIS, Inc.
REPORTS TO: Vice President and General Manager
DUTIES and RESPONSIBILITIES:
- Conduct and coordinate general office functions to ensure efficient and timely operations including, but not limited to, receive and triage incoming communications; prepare and submit accounts payable transactions; establish and maintain company files (paper and electronic); order supplies and materials; and other similar functions.
- Assist with the development of materials, presentations, programs, reports, spreadsheets and correspondence for use of the company.
- Coordinate preparation and distribution of reports, spreadsheets and communications with client companies.
- Coordinate logistics for seminars, conferences and other meetings. Ensure proper meeting room set up and greet visitors. Attend events offsite as needed.
- Order and track office supplies.
- Occasionally assist the Policy Administration department.
- Maintain confidential and discretionary information.
- Perform additional duties as assigned by the Vice President and General Manager.
RELATIONSHIPS: Work closely and cooperatively with AFBIS Employees. Interact with other departments in obtaining and distributing information relevant to AFBIS, Inc. Interact with client companies and vendors as needed.
EDUCATION OR TRAINING REQUIRED: Bachelor’s Degree in Business Administration, related subject or equivalent administrative experience.
EXPERIENCE AND SKILLS REQUIRED: Effective verbal and written communications, including exceptional proofreading and grammar skills. Proficient with Microsoft Office products.
PREFERRED EDUCATION/EXPERIENCE/TRAINING/SKILLS: One to three years of professional experience.
