What Are We Looking For?

We are looking for an enthusiastic and energetic Administrative Assistant to support our SVP of Engineering and our SVP of Corporate Development. This is a highly-visible role that will have constant interaction with all levels of the org. The ideal candidate will be able to manage multiple tasks and projects with competing priorities and deadlines. Additionally, they will have relevant experience in a fast-paced environment, excellent communication skills, a customer service attitude, and a willingness to grow and develop in this role. This person will be an integral part of developing and driving a positive company culture. We are looking for a team player willing to roll up their sleeves and do any task!

What Will You Do?

  • Strategically and proactively manage the SVPs’ calendars and daily schedules
  • Schedule and help coordinate details (hotel, transportation, meals, meeting/session coordination) for various internal and external offsite meetings, site visits, etc.
  • Take the lead in the coordination of all-hands, staff, and operational meetings, and assist with follow-ups as needed
  • Responsible for making travel arrangements and managing/submitting associated expenses
  • Assist in the coordination and execution of special projects and initiatives within the teams
  • Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications
  • Help with execution of employee experience initiatives and activities (e.g. coordinating team outings, etc.)
  • Creatively design and implement various methods of nurturing a fun and productive environment
  • Collaborate with other administrative assistants and team members to ensure seamless communication and coordination across departments
  • Provide general administrative support to the Engineering and CorpDev teams as needed

What Skills and Knowledge Should You Bring?

  • Proven experience as an administrative assistant or similar role, preferably supporting executive-level staff
  • Positive and enthusiastic attitude with a high tolerance for change and pressure
  • Solid written and verbal communication skills; ability to maintain a professional business appearance and attitude at all times
  • Excellent organizational skills and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment, and an attention to detail balanced with the drive to get things done
  • Demonstrated ability to be proactive, take initiative and exercise good judgment
  • Proficient working knowledge of GSuite, MS Office and relevant software applications
  • Ability to work well with cross-functional teams
  • Ability to prioritize, problem-solve, manage time effectively, and work with minimal supervision
  • Ability to quickly learn and adopt new technologies, procedures, workflows, etc.
  • Admin experience in a growth environment is a huge plus
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information
  • Minimum 2-5 years relevant experience with bachelor's degree or 5-8 years relevant experience without

This U.S. role has a base pay range that will vary based on the location of the candidate.  For some
locations, a different pay range may apply.  If so, this range will be provided to you during the recruiting

Base Salary Range

$72,000$99,000 USD
