Administrative Assistant
Job Description
We are looking for our next Administrative Assistant to join our growing Philadelphia office! The Administrative Assistant works out of our Philadelphia office and will have the ability to work in the office five days a week. This role provides core administrative support to the leadership team along with managing the office including, but not limited to: managing travel schedules, ordering office supplies and monitoring (i.e. taking inventory, stocking supplies, coffee, tea, printer paper/cartridges, etc.), and picking up mail and packages and distributing to the team.
Core ResponsibilitiesÂ
- Providing administrative support to the Partners and executive committee -- including, but not limited to: managing travel, scheduling appointments and managing the team’s calendars, and; serving as the primary point of contact for office matters
- Ensure the office is maintained in a neat manner, troubleshooting any facilities issues and being the primary contact for the team
- Set up of internal meetings, including document preparation, food inquiries and internal communication
- Responsible for office supplies ordering and monitoring (i.e. taking inventory, stocking supplies, coffee, tea, printer paper/cartridges, etc.), and picking up mail and packages and distributing to the team
- Plan and prepare for meetings and off-sites, including reserving meeting rooms, setting up catering, working with external sites and vendors when needed
- Performs other duties as needed
Education and Experience:Â
- At least 1-2 years’ experience performing administrative duties in a fast-paced professional environment
- Proficient with Microsoft Office Suite applications, including Word, Excel, PowerPoint and Outlook
- Ability to prioritize competing priorities and/or deadlines
- Ability to work in the office five days a week
- Must be independent, self-motivated and organized       Â
- Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future
Physical Requirements:Â
- Prolonged periods sitting at a desk and working on a computerÂ
- Must be able to lift items up to 30 pounds at timesÂ
