The Role
Atlas is looking for a critical new team member in our brand-new office in Chicago, IL.
As the Administrative Assistant to the Executive Office department, you will be working directly with the Executive Assistant. You will also be responsible for a variety of administrative tasks. We expect you to be resourceful and a strategic thinker with an eye on the details. You must be self-motivated, with the ability to work collaboratively with executive stake holders and independently in a fast-paced environment.
The desired candidate is someone with a strong orientation to details, passion for organization, multi-tasking capability, great communication skills and someone confident to make decisions in a highly collaborative manner. In addition, someone who can hit the ground running and make an immediate impact whilst building new relationships.
Role & Responsibilities
- Works and reports directly to the Executive assistant
- Handle sensitive information in a confidential manner
- Schedule appointments, reservations and maintain calendars
- Schedule, coordinate meetings and take detailed minutes
- Basic event planning / management / support (social, company meetings, meet-ups, etc.)
- Serve as the point person for administrative errands
- Filing -Physical & Electronic
- Document processing & Shipping -Typing, copying, scanning, binding, etc.
- Prepare reports
- Manage inbound/outbound mail and shipping
- Collating & filing expenses
- Book all travel logistics- flights, accommodations, ground transportation, etc. (Domestic & International)
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Conducting or preparing any research
- Meeting and greeting visitors for CEO
- Maintain Contact Lists
- Order supplies and maintain inventory for the Executive Office Team
- Back-up to the Executive Assistant
- Help and assist different departments whenever required
- Implementing and maintaining procedures/ administrative systems
Requirements
- Previous work experience working in the Administration field.
- Being fair, empathetic, and committed to both the business and the well-being of our colleagues.
- Communication and collaboration are essential in this position.
- Proactive nature - we're looking for someone who always keeps busy and finds something to do, making themselves useful
- Excellent verbal and written communications skills (English)
- Strong organizational and time management skills
- Prioritization and decision-making skills
- A high level of discretion to handle confidential and sensitive information
- Strong attention to detail and exactness in work
- Must work on-site.
- Must be able to travel, domestic & international.
- Willingness to learn
- Results oriented, proactive, quality- driven, customer-centric, and strong attention to detail.
- Strong collaborative, relationship management skills with the ability to communicate and influence stakeholders at all levels.
- Flexible and adaptable
- Must demonstrate proficiency in Microsoft Office (Work, PowerPoint, Excel, and Outlook)
- Able to sit, walk, stand for long hours at a time
- Experience working for a global company with multiple offices is highly desired
- Notary public highly desired
