Job Description

We are seeking a highly organized and proactive Administrative Assistant to join our HR Department for a temporary maternity cover role. The successful candidate will support the HR team and assist the HR Executive with a range of day-to-day HR activities. This role involves handling employee grievances, managing leave and attendance, recruitment processes, onboarding and deboarding, as well as dealing with visa and insurance matters. Candidate should have their own visa for employment.

Key Responsibilities:

  • HR Support:
  • Provide administrative support to the HR Executive and HR team.
  • Assist with the management of employee grievances and disciplinary issues.
  • Support in resolving day-to-day HR matters and employee queries.

  • Leave Management:
  • Oversee and manage employee leave requests and maintain accurate records.
  • Monitor leave balances and ensure compliance with company policies.

  • Recruitment:
  • Assist with the recruitment process, including job postings, scheduling interviews, and liaising with candidates.
  • Coordinate with relevant departments to ensure smooth onboarding of new hires.

  • Onboarding & Deboarding:
  • Facilitate the onboarding process for new employees, including orientation and necessary documentation.
  • Manage the deboarding process for departing employees, ensuring all procedures are followed and records are updated.

  • Visa & Insurance:
  • Handle visa-related tasks for employees, including renewals and applications.
  • Manage employee insurance documentation and liaise with insurance providers as needed.

  • General administration:
  • Maintain and update HR records and databases.
  • Assist with the preparation and filing of HR documents.
  • Provide support in organizing HR events and activities.

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role within an HR department.
  • Familiarity with HR functions and processes.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
