We are looking for a strong and dynamic Administrative Assistant to join our team. This role will report to the Executive Assistant to the CFO, and partner with our Executive Director of Foundation, Corporate Social Responsibility and SVP of Financial Operations. We are looking for someone who is creative and enjoys working within a fast growing, rapidly changing environment that is mission-driven and community oriented. The ideal candidate is someone who is willing to go beyond the day-to-day responsibilities of an administrative assistant and demonstrate the ability to contribute to a complex team as a business partner. This individual is both strategic and tactical, a right hand partner for their executives, has the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. We are looking for an assistant that knows how to dive in and roll up their sleeves to get things done and be two steps ahead of their executive. 

Responsibilities:

  • Lead and manage the Executive Director of the Foundation and SVP, Financial Operations calendars, appointments and travel arrangements
  • Track and help drive completion of key deliverables for external speaking engagements 
  • Track and organize communications, presentations and other documentation
  • Organize team events including offsites, quarterly connection events 
  • Develop lasting relationships with both internal and external stakeholders
  • Help manage a balance among multiple competing priorities

What you bring:

  • Proven or related experience supporting a VP+ executive(s) with at least 3 years of experience as an administrative assistant
  • Proven experience managing complex calendars using G Suite applications including vetting, prioritizing, and providing recommendations 
  • Experience drafting detailed travel itineraries and providing remote assistance with logistics and travel arrangements with input from traveler 
  • Strong organizational skills, reflecting the ability to prioritize multiple tasks seamlessly with 
  • Solid understanding and experience using Google Suite, Slack and Zoom
  • Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners 
  • Previous experience at a tech company or startup environment preferred 
  • Proven-effective written and verbal communication skills - able to simplify complex topics in a friendly and approachable manner

We use geographic cost of labor as an input to develop ranges for our roles and as such, each location where we hire may have a different range. If this role is remote, we have listed the top to the bottom of the possible range, but we will specify the target range for an exact location when you are selected for a recruiting discussion. The salary range for this role is $60,775 to $126,500.
