About the Role:
We are looking for a highly organized Administrative/Office Assistant to join our team! We are targeting a proactive, multitasking and customer service-oriented professional who has 3+ years of administrative experience. This person must have high attention to detail and problem-solving skills. This on-site role provides general office support and acts as back-up to the Executive Assistant. They must feel comfortable providing polite and professional communication while resolving day-to-day office and administration issues.
Responsibilities:
  • Calendar management for company and leadership meetings; organize and schedule appointments, meetings, etc.
  • Produce and distribute correspondence (emails, memos, letters, faxes forms, etc.)
  • Provide general support to visitors to our Chicago office
  • Be available to Halo team for information and requests
  • Handle and prioritize multiple projects
  • Maintain office and kitchen supplies; check stock to determine inventory level; anticipate needed supplies; place and manage orders; organize deliveries
  • Organize travel arrangements for senior managers as needed
  • Partner with HR team to coordinate onboarding of new hires (eg: office tour/intro, configure laptops for new hires, be comfortable walking them through the process, etc.)
  • Receive, sort, and distribute mail and incoming packages
  • Answer and direct incoming phone calls; Reply to email, telephone, or face-to-face inquiries
  • Ad-hoc tasks to help support our Chicago office

Education and Requirements:
  • Positive and supportive demeanor; team player!
  • High school diploma or equivalent; college degree preferred
  • 3+ years proven experience as administrative or office assistant
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multitask and prioritize
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office and/or Google suite
