Mach49 is seeking an Administrative Assistant who will be responsible for supporting our local Executive team, managing the office and our client teams, and assisting in periodic event planning. This position requires initiative, attention to detail and the ability to learn quickly. You should expect to manage internal and external relationships, work with senior executives, interact with external customers and demonstrate superb communication skills. This is an ideal position for a talented individual who works well under pressure, is a self-starter and wants to work in a dynamic, fast-moving, collaborative environment.


The Role                                             

  • Calendar management - coordinate meetings including, but not limited to, team meetings, interviews, offsite meetings, and management meetings across global time zones
  • Event/Marketing Management - assist in planning, organizing and managing a variety of local events such as client dinners, webinars, and keynotes at local conferences.
  • Expense reporting, data entry, and vendor oversight 
  • Scheduling complicated domestic and international travel 
  • Organizing, prioritizing and coordinating multiple work activities
  • Client team support

Requirements

  • 2-3 years of work experience in the capacity of an Events Coordinator, or Executive Administrative Assistant 
  • Bright, high-energy individual, with a passion to learn and contribute 
  • Deep experience performing administrative work that requires analysis, initiative, discretion, and independent judgment 
  • Willing to "roll up sleeves" 
  • Detail oriented and customer service focused 
  • Excellent written and verbal communication skills 
  • Flexible in response to changing needs with the skills to prioritize and meet necessary deadlines. 
  • Able to support meetings and email communication across various Mach49 time zones
  • Effectively represent the organization 
  • Actively manage projects in a fast-moving, high intensity environment 
  • Flexibility to work independently or partner with a variety of teams 
  • Work well across the organization with employees of all levels and in all departments 
  • Strong Excel, PowerPoint, Word, G Suite, QuickBooks and calendaring skills
