Administrative Assistant, Engineering

We are seeking a full-time Administrative Assistant that will be responsible for supporting the VP of Space Vehicle Engineering and Engineering Directors. This position will be in office at our DTC location and will report to the Office Administrative Manager. and may occasionally require travel to our other offices if coverage is needed.
RESPONSIBILITIES
- Managing VP of Space Vehicle Engineering’s Calendar to ensure best use of time
- Coordinating meetings/events with internal and external parties visiting with the engineering department
- Coordinating/planning/hosting team building and professional development activities across engineering team
- Executing administrative tasks as needed including: booking travel, reporting expenses, small admin purchases, catering events
- Supporting the engineering leadership team with organization and data management
- Owning special projects as they arise (for example: creating the engineering mentorship program)
- Supporting and helping with coordination of recurring events for the Engineering Internship / Co-op program
- Taking minutes/notes at key meetings
- Supporting and working on knowledge management activities to help the engineering team work efficiently
- Support visitors of the engineering department with logistical information and serve as a host and first POC during visits
- Managing the engineering organizational chart with regular updates
- Facilitating solicitation of content for regular recurring engineering meetings
- Other business management projects as needed
- 2-5 years previous experience as an administrative assistant or executive assistant is a plus
- Strong computer and internet skills including all MS Office Suite (Word, Excel, Outlook, PowerPoint and Teams) required
- Event coordination experience is a plus
- Must be a self-starter with excellent interpersonal and communication skills
- Must be efficient with strong attention to detail
- Must have strong professional demeanor, and the ability to maintain confidential information
- Must have strong skills in organization and planning, demonstrated ability to work independently, and exercise sound judgment and problem solving
- Must have proven ability to manage projects and prioritize tasks
- Must be flexible with responsibilities and tasks to meet the needs of a rapidly growing company
- Willing to work OT or respond during off-business hours
- Highschool Diploma or GED required
