A successful Administrative Assistant possesses structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization.
As an Administrative Assistant in Investment Banking Japan, you will represent the manager/group with professional courtesy and acumen, and deliver flawless output, including interaction with various executive level external and internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals. In this role, you will need to work well in a team environment.
You will be 100% relied upon to manage and take responsibility for your stakeholders' diary, travel, expense management and everyday needs. You will require minimal direction whilst utilizing your strong attention to detail to navigate support for the group.
Job responsibilities

  • Manage calendar and associated tasks such as booking conference rooms, audio visual equipment, documentation, meeting scheduling etc.
  • Arrange meetings for visitor(s), management meetings
  • Coordinate logistics for business trips and team travel arrangements, when appropriate
  • Filing, invoicing and processing of expense claims and related record-keeping, maintain department's records and handle phone enquiries
  • Assist and/or leading the organization of events (both internal and external)
  • Handle personnel on-boarding and off-boarding coordination, including logistics for new staff
  • Assisting in ad hoc project administration support when required


Required qualifications, capabilities, and skills

  • Excellent interpersonal and communication skills with experience working with a variety of cultures
  • Strong organizational skills, meticulous with details and able to work under high pressure and tight deadlines
  • Able to work with a high degree of autonomy as well as part of a team
  • Experience in managing relationships across all levels
  • Strong proficiency in both written and spoken Japanese and English
  • Strong Microsoft Office skills


Preferred qualifications, capabilities and skills

  • Experience in finance firms would be an advantage
