Job Description

CALSTART is hiring an on-site Administrative Assistant to support our growing organization. This is a critical role for our operations team that will be partnering with and supporting multiple areas of the business. The Administrative Assistant will support physical maintenance of our Pasadena office, clerical duties, events & travel logistics, and serve as a general support system for key areas of the business. This is a high visibility opportunity where you will be supporting multiple stakeholders. 

 
Responsibilities:

  • Represent CALSTART as our front of office, maintaining an on-site presence Monday through Friday, 8am-5pm 
  • Upkeep of physical office space including maintaining organization and cleanliness as well as monitoring and resolving issues or maintenance needs 
  • Serve as office receptionist answering and directing calls 
  • Process key fob- HQ and key cards 
  • Organize and schedule bi-weekly companywide meetings 
  • Research products, vendors, services and events 
  • Booking international and domestic travel for employees 
  • Shipping and receiving, using FedEx, USPS, and UPS including packages up to 70 lbs. 
  • Event support including set up, breakdown, logistics coordination, vendor management, and meal ordering 

Minimum Requirements:

  • 3+ years experience as an Admin supporting a mid-size organization (200-500 employees) 
  • Research fundamentals including investigation, evaluation and decision making 
  • Computer and technology skills
  • Experience working across various teams and multiple stakeholders
  • Strong ability to meet or exceed deadlines.
  • Strong attention to detail
  • Problem solving skills
  • Time Management skills and the ability to multi-task as well as effectively prioritize tasks.
  • Outstanding written and oral communication skills 
  • Ability to lift up to 70 lbs 

Preferred Experience: 

  • MS suite proficiency 
  • 5 years of experience in an administrative role

CALSTART includes the complete salary range amount $40,809.60- $54,320.00 of the job announced. We determine pay based on education, experience, internal equity, and any other factors relevant to the job. Pay for this role will typically be from $40,809.60-$47,564.80.
