JOB SUMMARY: This Administrative Assistant/Receptionist reports to the Office Manager and collaborates regularly with the team of assistants. The role splits time equally between reception and other administrative assistant duties as well as being the first point of contact for Forbright Bank.
DUTIES AND RESPONSIBILITIES:
Daily Reception Duties:
- Greet and welcome guests
- Direct guests to appropriate staff members and offices
- Point of contact for new hires, giving a tour of the office building
- Answer phones, screening, and directing calls to appropriate personnel
- Monitor main voicemail box
- Assist with deliveries as well as internal and external shipments
- Collect and sort mail for the office
- Ensure reception area is tidy and presentable
- Ensure reception area conference rooms are tidy and presentable
- Assist with keeping the café area stocked, tidy, and presentable
Administrative Duties - General:
- Monitor and order kitchen inventory and restock the kitchen throughout the day
- Assist in managing conference room calendars: approve/deny meeting requests while also balancing prioritization and diplomatically resolving room conflicts
- Maintain cleanliness throughout the office space, from running and unloading dishes in the kitchen to tiding up all conference rooms
- Monitor general office supplies and order as necessary
- Assist with maintaining supply inventory
- Prepare shipping labels for outgoing mail
- Assist with materials for meetings and trainings
- Coordinate office events and meetings such as ordering and setting up lunches
- Assist with company hospitality and incentives
- Perform ad-hoc administrative duties as requested
Administrative Duties - Accounting/Finance Team Assistance:
- Prepare expense and specialty reports as requested
- Collaborate with the Accounting team
- Enter bills and assist with sending out checks
QUALIFICATIONS:
- High School Diploma or GED required; Associates or Bachelor’s degree preferred
- Understanding of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook required
- Previous receptionist or administrative assistant experience preferred
- Must possess strong organizational and time management skills
- Must be able to prioritize responsibilities and meet deadlines
- Must demonstrate excellent oral and written communication skills
- Must have strong interpersonal skills and effective communication
- Must be able to interact with all levels of internal and external personnel/customers in a mature, professional manner
- Strong sense of confidentiality and discretion
- Strong sense of teamwork, including willingness to help when there is a need
- Strong ability to be proactive and resourceful while working in a fast paced environment
