Mach49 is seeking an Administrative Assistant who will be responsible for supporting our Venture Investing team. This position requires initiative, attention to detail, ability to learn quickly and work well in a team environment. You should expect to manage internal and external relationships, work with senior executives, interact with external clients and demonstrate superb communication skills. This is an ideal position for a talented individual who is a self-starter and wants to work in a dynamic, fast-moving, collaborative environment.


100% Remote - however candidate must reside in the New York City, Boston, or Philadelphia metro areas - Availability to occasionally commute to and coordinate on-site meetings and/or conferences in NYC, Boston or Philadelphia


The Role                                           

  • Calendar management - coordinate and prioritize meetings for multiple complex calendars across global time zones
  • Assist the Executive Operations Administrator with special projects such as team events, team onboarding, project management, internal systems, and various other team management projects.
  • Event Management - assist in planning and managing a variety of events such as team dinners and various other client events and conferences.
  • Expense Management - process invoices and expense claims for team members.
  • Work with a large admin team for internal matters like policies and procedures and general dissemination of information to the team.
  • Scheduling complicated domestic and international travel 
  • Organizing, prioritizing and coordinating multiple work activities and projects for the Partners

Requirements

  • 2-5 years of work experience in the capacity of an Executive/Administrative Assistant or Office Manager
  • Bright, high-energy individual, with a passion to learn and contribute
  • Deep experience performing administrative work that requires analysis, initiative, discretion, and independent judgment
  • Willing to "roll up sleeves"
  • Detail oriented and customer service focused
  • Excellent written and verbal communication skills
  • Flexible in response to changing needs with the skills to prioritize and meet necessary deadlines.
  • Able to support meetings and email communication across various Mach49 time zones
  • Work well across the organization with employees of all levels and in all departments
  • Strong G Suite, Keynote/PowerPoint, Zoom and calendaring skills
  • Previous startup, corporate or venture capital experience a plus

Base salary range: $75K - $100K
