FLSA Status:                  Exempt

Compensation:               $75,000-90,000 (plus six weeks of PTO and generous benefits)   


Summary Description or Position Objective:

The Administrative Associate is responsible for organizing the day-to-day operations and serving as primary point of contact at our Seattle office and virtually supporting other locations. This role also provides direct support for company mailings, communications, and events. This position involves multi-tasking and cross-functional support that contributes and builds teamwork across our expanding renewable energy company.


Duties and Responsibilities:

  • Managing office organizational systems and processes, with a continuous interest in researching and identifying and implementing efficiencies.
  • Managing office supply budgets across several office locations.
  • Coordinating contract signatures, file management, and providing logistical support to the team.
  • Leading outgoing landowner mail campaign efforts, including landowner welcome packages.
  • Distributing incoming mail, document preparation, shipping reports, and other logistics as appropriate.
  • Assisting with travel planning and meeting coordination.
  • Coordinating office purchasing, including generating and maintaining an ongoing inventory of standard office supplies, and working closely with the team regarding tenant improvements and/or office expansion.
  • Acting as the primary point of contact for office suppliers, vendors, and building management.
  • Assisting in the successful onboarding of new employees, by orienting new employees to the physical office and various administrative processes while ensuring each new employee has the physical tools necessary to be successful.
  • Coordinating event planning for Board meetings, team socials, and holiday gatherings.
  • Maintaining office cleanliness and organization.

Qualifications:

  • 2-4 years of office administration, operations coordination or similar.
  • Bachelor's degree preferred 
  • Familiarity with Microsoft Office/Office 365 and Google Apps
  • An infectious and positive attitude that sets the tone for our team.
  • Self-starter, proactive, takes initiative, can work independently, learn new skills quickly, and enjoy taking ownership of and delivering on administrative functions.
  • Strong attention to detail with an organizational capacity to manage multiple tasks with competing deadlines.
  • Excellent verbal and written communication skills.
  • Comfort supporting standard office IT tasks (new email account setup, online calendars etc.) and general technology aptitude
  • Must have a “roll up your sleeves and let’s get the job done right” type attitude
  • Demonstrated qualities of integrity, credibility, and professional responsibility
