We are looking for a forward-thinking Administrative Business Partner / Executive Assistant who will serve as a strategic administrative partner to our CEO and Executive Leadership Team as our business rapidly scales. You will be at the center of our business, and your work will enable Kalderos to maximize our success by streamlining operations and collaboration. You will partner with leadership to help them achieve their goals and objectives and enhance productivity.

What You’ll Do:

  • Schedule and prioritize meetings and coordinate travel logistics for the CEO, and other members of the Board and Executive Leadership team as needed
  • Maintain confidentiality and professionalism in correspondence as the first point of contact for Kalderos and our CEO
  • Recognize operational weaknesses and help sharpen processes or develop new ones
  • Process expense reports accurately and on time
  • Support meeting functions, assisting in the preparation of meeting spaces, agendas, and presentations, and taking thorough minutes
  • Manage office logistics such as receiving mail, maintaining office supplies, and coordinating meals and snacks
  • Lead the planning and organization of on- and off-site company events, including logistics, venue selection, catering, vendors, and supplies
  • Collaborate closely with cross-functional teams
  • Assist with special projects as needed

What You’ll Bring:

  • 5+ years of experience supporting C-Level Executives at a fast-growing organization
  • Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines in a fast-paced environment
  • Capable of prioritizing business needs and make trade-offs across all stakeholders accordingly
  • Creative problem-solving skills
  • Excellent verbal and written communication skills
  • Highly skilled in Google Workspace and Microsoft Office Suite, Power Point, Excel with the ability to quickly accommodate to new applications and tools
  • Exceptional attention to detail and accuracy in your work
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and tactfully handle sensitive information
  • Proactive self-starter motivated to build efficient processes and systems
  • Adaptability to accommodate changing priorities and the capacity to navigate, digest, and make decisions amidst uncertainty
