Job Summary:


OpenGov’s Administrative Personal Assistant to the CEO is a critical role in our fast-growth organization. You'll partner with the Senior Executive Assistant and help manage a complex and ever-changing calendar while providing high-level and confidential administrative and personal support. The ideal candidate adapts well to a fast-paced entrepreneurial environment, demonstrates flexibility as timelines and priorities change and provides a high degree of attention and responsiveness to the needs of the CEO. Reliability, consistency, resourcefulness, and grit are necessary attributes to succeed in this role.


Responsibilities:


Responsibilities are, but not limited to

Shadow and support the CEO, in person

Work closely with the Sr. EA on a day to day basis

Establish trust by handling sensitive matters with the utmost confidentiality and discretion


 Help manage aspects of the CEO’s daily schedule and activities:

Schedule meetings and appointments

Plan and execute complicated travel plans and itineraries

Maintenance of a complex and ever changing calendar

Resolving conflicts in a professional manner


Additional administrative tasks, such as but not limited to:

Help plan and execute meetings, off-sites, events, and special projects

Tracking professional expenses and follow company guidelines to report and file appropriately

Help research and analyze materials for projects on behalf of the CEO

Complete ad hoc assignments and projects on behalf of the Sr. EA and/or CEO in a timely manner


Personal tasks, such as but not limited to:

Manage and oversee family/home tasks and vendors

Schedule appointments

Plan and execute travel/vacation plans and itineraries

Run errands, make reservations, handle mail and returns as necessary

Manage personal correspondence

Ensure proper maintenance of home and vehicle(s).


Requirements and Preferred Experience


BA/BS degree, or equivalent experience

1+ years of experience as an Administrative or Personal Assistant in a fast-paced environment, ideally with experience supporting a senior executive

Sharp, proactive, organized, detail oriented, resourceful, and dependable

Resilient and adaptable, able to recover quickly from a challenging day and maintain a positive outlook

A good sense of humor

No task too small mentality

Not afraid to ask questions

Energetic, adaptable, and capable of turning around tasks quickly and efficiently

Ability to multi-task and prioritize in a fast-paced environment

Able to work as part of a team or independently

Able to work under pressure with a keen awareness of time and deadlines

Technically savvy: GSuite Apps, Office Suite Apps, calendaring skills, and ability to learn new concepts quickly

High EQ with the willingness to learn, an orientation to exceed objectives, and take on more responsibility
