Job Description
Tiverton is seeking a proactive and resourceful Administrative Specialist who will be crucial in ensuring the smooth and efficient functioning of Tivertonās offices and its professionals. The Administrative Specialist will play a pivotal role in providing administrative support to various departments and senior staff, enabling them to focus on their core responsibilities. Key responsibilities will include organizing and managing the office's day-to-day operations, maintaining records and databases, coordinating and scheduling meetings and events, and perform various administrative tasks as they arise.Ā
The successful Administrative Specialist will be self-motivated and energized by working with a group of thoughtful, smart, and skilled colleagues. He or she will enjoy being a part of a young and hungry organization focused on becoming a leading investment firm in U.S. agriculture.
Primary ResponsibilitiesĀ
- Perform various administrative duties, such as answering phone calls, scheduling appointments, managing calendars, and greeting visitors.Ā
- Assist in organizing and coordinating meetings, conferences, and special events.Ā
- Manage and maintain office supplies, equipment, and inventories.Ā
- Liaising with building staff to receive and ship packages, reserve common areas, conference room, and loading dock.
- Assist in coordinating travel arrangements and accommodations for senior level staff members.Ā
- Collaborate with other team members to support projects and initiatives, as required.Ā
- Provide exceptional customer service by handling inquiries, resolving issues, and redirecting requests to appropriate individuals when necessary.Ā
- Contribute to the improvement of office processes and procedures by suggesting innovative ideas.
Qualifications
- Bachelorās degree
- Proven experience as an administrative assistant or in a related roleĀ
- Demonstrated initiative and ability to work in a fast-paced environment
- Proficient in using office productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Ā
- Excellent written and verbal communication skills.Ā
- Strong organizational and time management abilities.Ā
- Attention to detail and high level of accuracy in completing assigned tasks.Ā
- Ability to multitask and prioritize responsibilities in a dynamic work environment.Ā
- Demonstrate strong interpersonal skills, maintaining a professional and friendly demeanor.Ā
- Ability to handle confidential information with integrity and discretion.Ā
