Administrative Specialist III

Candidate will join the Data Management team to support the Project West Wing program office in providing administrative support to internal program staff and coordinate with government and external partners. Candidate will be offered the opportunity and expected to operate independently and collaborate with internal staff and industry partners.
We are seeking a confident Administrative Assistant to support the Project West Wing staff at our program office on Los Angeles AFB in El Segundo, CA. This candidate will serve as the focal point for the office and provide collaborative administrative support to ensure effective and efficient operations. This candidate resolves problems quickly, executes processes and procedures, and works closely with leaders, colleagues and customers across the enterprise to ensure the program office runs smoothly and meets internal/external deadlines. This position will support the Project West Wing leadership team and staff members at locations outside of California as a secondary focus.
This is a full-time position based at Los Angeles Air Force Base in El Segundo, California reporting to the Associate Director for Data Management. Position is primarily onsite, with occasional telework possible with management approval. Minimal overnight travel is anticipated.
What You'll Be Doing
- Internal and external meeting coordination, support, and execution.
- Arranges travel using Concur- coordination, logistics, and expense reporting.
- Employee support for the organization (on-boarding, timesheet administration/auditing, training requirements, supply/equipment orders).
- Supports special projects, tracks actions items and deliverables .
- Coordinates inputs to corporate/customer reports and org charts (compile/edit/publish) .
- Provides site support for:
- Enterprise Services (Facilities, Security and Safety, EIS, Corp Comm, PeopleOps).
- Cross-organizational teams/committees and external customers.
- Corporation and property management (i.e. facilitating maintenance requests, janitorial contractors, vendors, incoming/outgoing deliveries, etc.).
- Coordinates site specific resources and requirements being fulfilled .
- Site communications in partnership with leadership and others.
What You Need to be Successful
Minimum Requirements:
- High School Diploma, GED, or equivalent.
- Possess a SECRET security clearance, issued by the US government.
- 6 or more years of strong administrative skills: strategic execution of tasks, organization, detail-oriented, writing, and proofreading.
- Strong technological fluency across a wide range of tools and platforms such as Microsoft Office applications including Outlook, Word, PowerPoint, Teams, SharePoint and Excel and meeting tools such as Teams, Skype and Zoom.
- Strong communication & interpersonal skills: leadership, collaboration, resiliency, strategic thinking, problem-solving, emotional intelligence, judgment, business acumen, and decision making, across all levels of the organization.
- Able to handle sensitive and personnel-related information appropriately and support sensitive management functions.
- Able to work independently and/or cooperatively with a team to proactively deliver innovative solutions and resolve issues with minimal direction.
- Able to obtain and maintain a TOP SECRET security clearance, issued by the US government (U.S citizenship is required to obtain a security clearance).
How You Can Stand Out
It would be impressive if you have one or more of the following:
- Possess a TOP SECRET security clearance, issued by the U.S. government.
- Prior experience as an admin or similar role.
- Associates or Bachelor's degree in any field.
- Prior experience working with the USAF or other military branches including base access, protocol, and coordination with military program offices.
- Familiarity with enterprise software packages such as Concur, Workday, etc.
- Familiarity with Aerospace corporate organizational structures, policies, processes, and practices.
