EXCITING TIMES AT THE AEROSPACE CORPORATION!
We are seeking an Administrative Assistant that handles key administrative and operational tasks for the Communication Electronics Department (CED) and Optical Communications Office (OCO)of the Communication Technologies and Engineering Division. The division comprises all aspects of communication systems, from architectures to implementation; our engineers work directly with corporate customers to ensure robust and resilient communications. This role will require someone to perform a wide variety of duties and responsibilities while facilitating efficiency across the organization.
We are seeking to a hire an Administrative Specialist - Level II to support CED and OCO on-site daily in the El Segundo, CA area. Responsibilities include managing various tasks, professionally collaborating with corporate, commercial, and government organizations to ensure robust and resilient communications are effectively handled. This role will require someone to perform a wide variety of duties and responsibilities while facilitating efficiency across the organization. This position will be a hybrid work model that requires mostly onsite work with a partially remote option.
What You'll Be Doing
- Complete all order requests (i.e., managing/ordering equipment, software, office supplies) by using a company credit card, preparing purchase requisitions, and interacting with external vendor and internal supply chain
- Spearhead critical administrative functions, such as organizing/coordinating internal and external meetings (physical and virtual), coordinating security visit requests/certifications, calendar support, preparation of presentations, assisting with travel arrangements and expense reports, assisting with onboarding requirements, and tracking action items
- Prepare, format, proofread, and maintain records of reports, products and presentations while tracking progress to meet deadlines
- Assist management of office and laboratory equipment including inventory tracking
- Play an essential role in timesheet administration and auditing
- Provide support on special projects related to the department, sub-division, division, and organization
- Collaborate with additional administrative assistants within the subdivision, division and across the corporation to achieve coverage and increase efficiency.
What You Need to be Successful
Minimum Requirements:
- High School Diploma OR GED equivalent
- Minimum of 4-years of experience supporting in an administrative assistant capacity
- Technological fluency across a wide range of tools and platforms and the ability to learn new applications quickly
- Experience in supporting Microsoft Office applications, including SharePoint, Excel, Teams and Office 365 web apps
- Excellent administrative skills (i.e., multi-tasking, organization, collaboration, detail-oriented, prioritization, communication)
- Ability to research, compile information and prepare reports.
- Ability to independently prioritize and oversee multiple tasks
How You Can Stand Out
It would be impressive if you have one or more of these:
- Familiarity with enterprise software packages such as Concur, Workday, Jira, Confluence, SAP
- Familiarity with Aerospace corporate organizational structures, policies, processes, and practices
- Previous experience in a laboratory (corporate or academic) environment
- ABility to deliver innovative solutions with minimal direction
- B.S. or B.A. in the business area
- Demonstrated ability to follow through, adapt, improvise, and overcome when presented with obstacles to getting the job done
- Current DOD security clearance OR have the ability to obtain a security clearance upon starting with Aerospace. U.S. citizenship is required to obtain a security clearance.
