The Administrative Support Specialist is responsible for providing full administrative and secretarial support to the EVP of International and Global Channel Sales to ensure the smooth management of day-to-day affairs and global coordination.
Responsibilities:
- Manage and take ownership of the EVP’s calendar and scheduled meetings.
- Proactively reschedule, hold time and gather necessary information prior to meetings to ensure EVP is properly prepared
- Coordinate all domestic and international travel arrangements for EVP (including visas and accommodations)
- Be present on all meetings, record meeting minutes and ensure all action items are completed and/or followed-up on.
- Serve as liaison with global executives and key stakeholders for coordination on meetings and projects.
- Draft and send out various correspondence and reports to leadership teams and C-Level Executives on behalf of the EVP.
- Submit all expenses on behalf of EVP for reimbursement through the company expense system.
- Assist International Sales Operations Manager with projects and tasks, as necessary.
Requirements:
- College Degree, preferred
- Experience with Gmail and Google Docs
- Experience with MS Office (Word and Excel)
- Experience with web browsers (Chrome, Safari, Internet Explorer etc.)
- Prior experience with Salesforce, Envisage, Greenhouse, Smartsheets or Slack, a plus
- At least 3 year experience in an executive assistant or administrative assistant role supporting a C-Level Executive
- Strong verbal and written communication skills
- Strong critical thinking skills
- Extremely detail-oriented and data-driven
- Superb time management and organizational skills
- Technologically savvy
