Administrator - E-Communication Supervision

ABOUT THE ROLE:
The Electronic Communication Administrator will act as a point of contact between the firm, journaled users, 3rd party supervision vendors and internal business partners and will report directly to the Manager.
RESPONSIBILITIES:• Provide administrative support to the manager for the e-Communication shared mailbox.• Update current database and process maintenance requests for journaled users such as new hires/transfers/terminations.• Provide expertise in the design and implementation, and overall administration of the archiving tool-Smarsh as well as the heritage software.• Oversee the configuration and maintenance of the journaled users in the cloud based archiving tool.• Provide support to the manager on matters pertaining to E-Communication supervision.• Conduct, facilitate or engage in cross trainings pertaining to E-Communication Supervision or as determined by manager.• Conduct, facilitate or engage in cross trainings pertaining to E-Communication Supervision or as determined by manager.• Report, research and resolve issues pertaining to the supervision tools.• Creation and management of general, custom and escalation queues.• Conduct routine checks on the configuration of the journaled users to assess optimal functioning of the e-comm surveillance.• Overseeing the entitlements and appropriate hierarchy for each user, in line with written procedures.
QUALIFICATIONS• Bachelor's degree in finance, business-related field, or equivalent work experience.• 2+ years industry experience in a compliance or supervision related function.• Preferred - FINRA Series 7.• Preferred - FINRA Series 24.
REQUIRED SKILLS:• Ability to work efficiently and effectively in a fast-paced environment.• Proficiency with Smarsh or a similar e-Comm supervision system.• Good communication and interpersonal skills• Analytical and problem-solving mindset.• Strong attention to details, ability to multi-task and prioritize projects.• Willingness to collaborate with other teams, partners, and stakeholders.
PREFERRED SKILLS:• Familiarity with ProofPoint or a comparable supervision tool.• Leadership skills.• Experience in a compliance-based environment in the financial service industry.
