Responsibilities:

  • Help drive and influence agency culture ensuring it aligns with MullenLowe’s values through day-to-day practices and operations 
  • Ensure that employee/visitor/client experience in the office is one that is warm, engaging and “customer-service” oriented. 
  • Become the office “go-to” by responding effectively and professionally with all employee and leadership requests, seeking solutions quickly, troubleshooting any issues that might arise  
  • Manage day-to-day administrative duties, including but not limited to, expense reports, corporate card reconciliation, budget tracking, travel, and heavy calendar management prioritizing conflicting needs and handle matters efficiently for members of leadership and Creative Directors.  
  • Drive and create moments that matter to bring employees together to build a sense of community in both the office and outside world, partnering closely with the office lead, HR manager, and director of operations to pitch ideas for smaller monthly events and larger all-agency events such as holidays/celebrations/ summer gatherings, etc. 
  • Manage the agency’s cultural calendar  
  • Serve as a key partner to facilitate agency meetings, helping to ideate on meeting content, contribute to the building of presentation deck, plan the associated social aspects in order to drive high levels of engagement 
  • Curate regular communications to the office on the appropriate channel (Teams, email, Workvivo) that highlight upcoming events/programming and recaps afterwards to drive energy and momentum towards our moments that matter 
  • Lead initiatives related to welcoming new hires into the agency during their onboarding process through welcome meetings and emails, office introductions, preparing office swag bags 
  • Source and facilitate gifts for employee recognition as directed by the leadership team 
  • Spearhead and build the agency’s volunteer opportunities and community outings 
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to leadership, including those of a sensitive or confidential nature. Ability to determine appropriate course of action, referral, or response 
  • Other culture and administrative related initiatives and duties as assigned 

 Qualifications:

  • Software: Solid understanding of Microsoft Office suite of products
  • Communication: strong written and verbal communication required
  • Soft Skills: Organized and resourceful, ability to multi-task in a fast-paced environment, creative problem solver, proactive, guardian and a listening ear, discretion and confidentiality and close attention to detail
