TheAnalyst plays an important role in supporting the Senior Vice-President &Group General Counsel (SVP&GC) and the Head of Office in delivering LEG'soverall work program. He/she reports to SVP&GC under the supervision of theHead of Office and is expected to work closely with the Front Office team.
Specificduties and accountabilities include:
- Determining and assisting in the organization and prioritization of meetings, calls and tasks of the LEG Front Office.
- Managing and implementing meetings of the SVP&GC with internal staff, Management and Board Members, and with external stakeholders, partners and others.
- Organization and management of forums and events convened by LEG with internal and external stakeholders and partners, including relevant working groups, and ability to distill multiple inputs and perspectives into cohesive, action-oriented plans and outcomes.
- Organizing and overseeing the administrative workflows and daily administrative operations of the front office, ensuring maximum efficiency and productivity.
- Managing the highly sensitive and confidential workflow and issues related to SVP&GC responsibilities.
- Reviewing and exercising quality control over materials submitted for the SVP&GC's clearance and/or signature.
- Managing the SVP&GC's calendar, scheduling of internal/external meetings, and coordinating with the Front Office team members in the day-to-day schedule of activities of SVP&GC.
- Handling the SVP's travel and meetings logistics.
- Assisting SVP&GC and the Front Office team in all aspects of the job.
- Ensuring appropriate follow through on actions, decisions, and commitments made by the SVP, working closely with the Head of Office for completion or implementation.
- Organizing and coordinating Front Office events, such as SVP's luncheons, LEG Management Team retreats, VPU team meetings, town halls, meetings for visiting delegations, including IFI General Counsels, and other outreach and VPU-related events.
- Maintaining overall LEG calendar of deliverables.
- Supporting the hiring and onboarding of the Front Office ACS and supervision of PA.
- Liaising with HR and assisting with interviews scheduling.
- Liaising closely with the members in the Offices of the President, Managing Directors, Vice Presidents, Executive Directors, and SEC to facilitate coordination.
- Maintaining an effective network of contacts (inside and outside of the unit), to ensure effective cooperation in support of the Legal VPU's needs.
- Assisting SVP&GC with specific projects led by the Front Office and/or other members of the LEG Management Team.
- Attending to such other tasks and responsibilities as determined by the SVP and the Head of Office.
Selection Criteria
* A minimum of Bachelor's degree combined with a minimum of 10 years relevant work experience or equivalent combination of education and experience. Long service in World Bank Group preferred.
* Extensive experience working with Executive Level/Senior Management and in the legal function.
* Self-starter who takes initiative, proactively anticipates tasks and issues, pays attention to details, is well organized, focused, and works with minimal supervision to function effectively as a member of a team within pressure work environment.
* Capacity to work simultaneously, effectively, and efficiently on a variety of diverse issues and tasks, independently adjusting priorities and achieving results with agreed objectives and deadlines.
* Responsiveness to demands of the executive, internal and external clients.
* High degree of tact, discretion, sound judgement, reliability, and diplomatic skills in handling confidential and sensitive information, and in dealing with internal and external clients, staff, and managers at all levels.
* Can-do attitude, calm demeanor, flexible, and clear head under pressure.
* Strong interpersonal and communication skills, including drafting routine correspondence and editing materials.
* Demonstrated ability to instill confidence of colleagues in the candidate's integrity, selfless World Bank Group-first attitude and commitment to the engagement and sensitivity to the perspectives of colleagues.
* Proficiency in Microsoft applications such as Word, Excel, PowerPoint, etc.
* Experience in the WBG is desirable.
