APA Media & Event Sales Coordinator
Job Description
Education and Experience:
- A minimum of one to three years of experience in a relevant capacity, preferably within the fields of advertising, marketing, exhibit sales, and/or business development.
- Bachelor's degree is preferred in Advertising, Marketing, General Business, or related field.
- Experience in publishing, advertising, business development and/or the exhibition industry preferred.
- Strong attention to detail and accuracy including demonstrated proficiency in advertising trafficking and proofreading skills.
- Strong critical thinking skills.
- Ability to understand advertising analytics.
- Ability to work autonomously and accurately manage own projects.
- Demonstrated time management skills and the ability to meet deadlines.
- Strong communication skills - both written and verbal.
- Interest in new digital media and technologies.
- Ad trafficking experience with a major commercial ad serving platform as well as familiarity with Interactive Advertising Bureau (IAB) standards and best practices is a plus.
Computer Skills Required:
Proficiency in Microsoft Word, Excel, Outlook (required); knowledge of Salesforce Marketing Cloud and Salesforce (strongly preferred) or the willingness to learn; knowledge of third-party digital ad servers and publishing platforms (preferred); knowledge of advertising management systems (preferred).
Responsibilities:
Convention Sales
Exhibits: Assist with exhibit-related tasks as assigned, including, but not limited to, exhibitor communications, projects and preparations relevant to the APA Solutions Center, exhibitor registration, and annual convention shipments.
Sponsorships: Act as the administrative liaison/point-of-contact for all confirmed APA convention sponsors regarding their sponsorship deliverables. Maintain Excel spreadsheet of all secured APA convention sponsorships and ensure that all sponsorship deliverables are met/received.
Convention Advertising: Coordinate and track all convention-related advertising contracts and ad materials-including the convention mobile app, onsite digital signage, and any other convention-related advertising. Ensure timely delivery of ad materials, including providing advance reminders to advertisers.
Convention Administrative Duties: Responsible for data entry and maintenance of exhibitor, sponsor, and convention advertiser prospects in LaunchPad. Provide bi-weekly status update for all convention-related projects/tasks. Other duties as assigned.
Media Sales: Track and maintain all advertising contracts and ad materials for Monitor on Psychology, APA web, and E-newsletters and E-Blasts; traffic ads to the appropriate production teams on an ongoing basis; manage advertiser complimentary lists for Monitor on Psychology and all other media, including the e-newsletters; act as LaunchPad administrator to maintain data entry of advertising prospects and prospect lists as well as maintaining advertising management publication setups in the backend; work on monthly ad line-ups and ad placements with the Media Sales Manager. Act as a back-up for banner advertising serving in the absence of the Media Sales Manager. Development of research as needed including monitoring membership analytics and new potential prospects. Partner with the sales team and production teams to ensure campaign optimization (from the point of prospecting and cross-lead promotion to advertising trafficking and reporting). Provide monthly production assistance to the editorial team as required including determining the magazine ad/editorial percentage each month. Other duties as assigned.
Strategic Alliance and Affinity Programs: LaunchPad management and maintenance of all partner media schedules to include inputting insertion orders for annual marketing plans, keeping them updated, and trafficking those ad placements to the relevant media; monthly responsibility to gather campaign analytics of each corporate supporter and affinity partner across various media channels based on established deadlines, provide that information to Member Insights to update the dashboards, review the data and dashboards for accuracy based on each individual program and an understanding of the data, summarize the monthly findings, review with the Manager, Strategic Alliances internally, and forward the dashboards to corporate supporters and affinity partners in advance of monthly check-in calls. Ongoing work on an updated streamlined process for data collection. Also responsible for communicating and managing media deadlines with Corporate Supporters and Affinity Partners as well as forwarding copies of media and marketing initiatives where their ads appear. Other duties as assigned.
Journal Production: Handle journal ad production to include timely and accurate placement of ads in specific journals, uploading ad creative into the journal production system, approving bluelines, and ongoing communication with journal account managers.
