Purpose: Responsible for the effective and efficient operation of Track labor, equipment and material modules; including invoice processing and payment. Responsibilities: Processes labor, material, and equipment charges in Track system. Interprets service contract language for verification of labor, equipment and material charges to meet terms and conditions of the contracts. Analyses and resolves discrepancies and complex issues through documentation research and/or direct contact with vendors, purchasing, accounting and maintenance personnel. Creates and generates reports for cost analysis (forecasting, cost spent to date, overtime ratio). Ensures compliance of Track work processes, procedures, and standards. Assists with LPO contractor invoicing; including compiling invoice back-up documentation, cost allocation in Track and invoice reconciliation. Performs various maintenance administrative functions as necessary. Communicates effectively and consistently with all levels of the organization and internal and external contractors. Assists customers in relation to Track, cost and invoicing. Ensures Track policies and procedures are followed. Assists Track team in providing training to vendors to ensure Track best practices are followed and customer needs are met. Supports team members during peak periods and / or absence. Competencies: High School graduate plus a minimum of 5-9 years experience in disciplines related to position (accounts payable, cost, timekeeping, or audit). Proficient in Microsoft Office. Working knowledge of Excel. Understanding of commercial contract language. Ability to apply critical thinking in business practices. Self-starter with ability to multi-task and prioritize workload. Position must maintain a high level of confidentiality. Works with passion and a sense of urgency. Excellent communication skills. Excellent customer service skills. Active participation to ensure team effectiveness.
