Summary of the Role
The role reports directly to the Global Head of Investor Relations and Business Development. As an integral member of the Business Development team, the candidate will be responsible for administrative duties and logistics around Business Development and is expected to collaborate with other members in the broader Investor Relations team and the Legal, Accounting, and Operations groups.
The candidate must work well in a team-driven environment, be a self-starter, remain cognizant of investor needs, and have a relative knowledge of the industry and key stakeholders. Candidates who are highly organized, take initiative, have a tremendous work ethic, and have a high level of maturity are considered ideal.
Administrative Responsibilities
This role is primarily responsible for the day-to-day administrative support to the Global Head of Investor Relations and Business Development, including the following:
- Provide a strategic approach to coordinating and scheduling meetings, ensuring meeting requests have a clearly defined purpose and time zone sensitivities are considered
- Coordinate heavy domestic and international travel, including immigration requirements (passport renewals, visa application, etc.)
- Act as the Business Development Team's point person on firm-wide administrative projects
- Prepare materials for investor meetings and weekly departmental meetings
- Maintain specific logs for compliance reasons
- General administrative duties including scanning, filing, answering phones, expense reports, mail sorting, etc.
- Personal assistance as needed
Business Development Responsibilities
- Assist with preparation of marketing calls by providing briefings and marketing materials in advance of the calls, tracking action items, and updating the CRM database.
- Utilize Farallon's CRM database to assist with various prospective and existing investor-related tasks, such as maintaining fund pipelines, email outreaches, meeting notes, etc
- Management of Weekly Firm Meeting notes
- Proactively run bi-weekly data room access reporting
- Prepare the Monthly Partner Letter templates
- Work with Business Development on Weekly Notes and key committee meeting minutes
- Update partial prospect packages and presentation materials
- Generate monthly tear sheets
- Redact quarterly letter with the Legal team
- Maintain counterparty scorecard and logs
- Work with the broader team on the firm’s Annual Investor Meeting
Ad-Hoc ResponsibilitiesÂ
- Assist Business Development professionals in planning investor luncheons and other smaller events
- Organize regular team events, such as annual offsite meetings and monthly social gatherings
- Provide support for road-show planning and logistics
- Help coordinate webcasts and other marketing events
- Collaborate with Farallon's HR and Compliance Teams for periodic updates to Farallon's website and other relevant materials for the Firm's external profile
QualificationsÂ
- Bachelor's degree
- Minimum of five years’ experience in an executive assistant or equivalent experience in a similar IR or Corporate Access role preferred
- Ability to handle confidential information with the highest of discretion, adapt to various competing demands, and demonstrate a superior level of customer/client service and response
- Excellent communication skills (both verbal and written)
- Extremely detail-oriented and organized
- Highly resourceful team player with the ability to work independently
