As the Assistant Workplace Manager you’ll manage and oversee facilities-related projects, initiatives, and general day to day operations of the workplace.  

What you’ll do:  

  • Coordinate facilities repairs and work orders (lighting and blind controls, plumbing and electrical issues, etc.) with building’s maintenance team 
  • Manage space planning and personnel moves, this includes building relationships with team leads to understand departmental growth and needs
  • Manage Inter-Office Travel including managing space for visiting employees 
  • Manage floorplans and record keeping, maintaining integrity of information
  • Monitor and resolve any mechanical, electrical, and plumbing issues as they arise
  • Work closely with Workplace Manager on all renovations and firm build outs
  • Maintain office equipment (non-IT) and service contracts 
  • Oversee building evacuation procedure and Emergency Response Team 
  • Oversee security issues related to physical space and systems 
  • Resolve assigned work orders and employee needs promptly
  • Support and coordinate special projects for the firm 
  • Update team pages on DRW’s intranet 
  • Onsite and offsite furniture management
  • Certificate of Insurance management for all workplace related vendors
  • Manage onboardings for new hires in planning their space and onsite first day requirements
  • Provide backup for the Workplace Manager on all workplace related matter  

What’s needed: 

  • Previous administrative support experience required 
  • Previous facilities, real estate or project coordination experience preferred 
  • Strong written and verbal communication skills are essential 
  • Must have excellent organizational skills and strong attention to detail 
  • High level of proficiency with Microsoft Outlook Calendar; experience using Microsoft Excel, Word and PowerPoint 
  • A customer service-oriented approach 
  • Must possess strong initiative to push tasks/projects to completion and the ability to work well independently 
  • Maturity and ability to handle confidential information with discretion 
  • Great communication skills to work with many different entities within the firm 
  • Proven ability to multitask, prioritize and take direction from multiple sources 
  • Dedicated team member that works well in a group project setting 
  • Bachelor’s degree preferred  
  • Confidence, initiative, and the ability to learn new things quickly
  • Strong organizational skills and ability to meet deadlines 
  • Team player attitude; willingness to help team members as needed 
  • Must demonstrate a flexible working manner to meet changing business needs
