We are looking for a strong Associate Budget Analyst to support the production team across both content and experiential in our Los Angeles and New York offices. This person must be organized, self-motivated, and process-oriented. This is a great opportunity for a smart, creative problem-solver with strong organizational skills and a demonstrated ability to proactively juggle multiple tasks in a fast-paced environment.

Giant Spoon is looking for someone who has operation/finance experience and a passion for the advertising industry.Â
This role will support the Experiential team (known for large-scale immersive experiences, stunts, pop ups, and everything in between), as well as the Content team (known for film, art, and digital production from pre-production, production, and post production) with various finance and operations tasks.Â
ResponsibilitiesÂ- Provide support to both the Content and Experiential Production teams.Â
- Prepare vendor agreements and contracts (MSA, PSA, Voice Over Agreement, Talent Release, SOW, Property Release, Image + Likeness Release, Music Licensing, etc)Â
- Draft estimates following agency- and client-specific guidelines
- Manage budgets and purchase orders - open, track, and close POs
- Track receipt of vendor invoices and paperwork (W9/WEBEN) and submit to finance for processing and payment. Ensure vendors are paid in a timely fashion.Â
- Organize and file project documents as needed
- Reconcile corporate cards weekly
- Manage expense reports each month for department credit cards, and work with project teams to track against individual project budgets as needed. Support the teams in general on providing guidance on personal expense reports and ensure that process is followed.Â
- Support teams on job reconciliations at the close of projects.
- Train freelancers and new hires on Giant Spoon finance, legal, and operational processes
- Book travel for GS staff and talent as needed
- Support Experiential project teams as needed on misc tasks such as:
- Source and purchase anything from props to furniture to supplies.
- Organize and maintain the experiential storage unit
- Organize, file, and maintain up to date MSAs & NDAsÂ
- Support Content team on misc tasks such as:
- Purchase stock imagery & tracking usage termsÂ
- Retain a database of usage terms on all jobs where agency has been required to handle clearances
- Input and track various information on live projects for the team to keep things organized and everyone well informed on status
- Organize and maintain the content storage unit
- Coordinate shipping and messengers as needed
Requirements
- First experience in an administrative role and/or agency experience preferred (e.g. through internships)
- Highly organized and detail-oriented with ability to manage priorities and deadlines
- Passionate about the detailsÂ
- Strong teamwork and communication skillsÂ
- Accounting/Finance background preferred
- Experience working with file management systems, Google Suite (Gmail, Docs, Slides, Sheets, and/or project management platforms a plus
- In-office 2 days a week
The anticipated annual salary range for this position is $65,000 - $70,000. Salary is determined based on a wide range of factors, including relevant experience, knowledge, skills, job duties, and geographic location.
