Associate, HR Operations

The Opportunity

Working with the Employee Experience department, the HR Operations Associate will be responsible for daily operations within the HR Operations unit including but not limited to onboarding and offboarding employees, building and refining people processes, supporting with system implementation and clean-up, and responding to employee inquiries to ensure a high level of customer service. They will work closely with the Manager, HR Operations & Compliance and the HR Coordinators to ensure efficient end-to-end implementation of HR policies and procedures. 

This role will also provide specialized project management of EX initiatives with a focus on HR  Operations, ensuring compliance, efficiency, and customer support to employees and internal collaborators across the team

Who We Are

The Center for Employment Opportunities (CEO) provides employment services to people with recent criminal convictions. Across the United States, over 6,000 people participate in CEO each year, transitioning to employment that supports themselves, their families, and their communities.

What began as a demonstration project of the Vera Institute of Justice in the 1970s to address employment barriers facing the formerly incarcerated following release in New York City has grown into the leading reentry employment organization in the country, where over 25,000 formerly incarcerated individuals have secured full-time employment since 1996. In 2016, CEO embarked on a 5-year strategic plan to grow to serve 9,000 participants annually. 

Who You Are

  • You have 3+ years of experience in Human Resources, with knowledge of human resources processes and best practices; PHR or SHRM-CP a plus
  • You have experience and proficiency with HRIS and Payroll systems required
  • You have proficiency in MS Office (particularly Excel) and GSuite
  • You have knowledge of federal and state labor laws and expectation to stay abreast of legal changes affecting HR
  • You are people-centered, efficient customer service skills and ability to work with staff at a variety of levels and to coordinate multiple stakeholders and projects
  • You have the ability to interpret and explain human resources policies, procedures, laws, standards, or regulations
  • You have strong verbal and written communicator, with the ability to communicate information through a variety of formats and with demonstrated desire to build relationships with stakeholders (internal and external) of all levels
  • You have competency in identifying challenges and facilitating solutions; strong analytical skills 
  • You have strong organizational skills and detail orientation; experience juggling numerous projects and responding quickly and positively to shifting demands and opportunities
  • You are a creative problem-solver with the ability to develop solutions to problems as they arise and the judgment to know when to enlist the help of colleagues
  • You are able to work within ambiguity 
  • You are able to thrive in a fast-paced environment

What You’ll Be Responsible For

Key responsibilities of the (title) include but are not limited to:

Project Management and Process Improvements

  • Build and  provide input into project planning activities for the HR Operations team, including division of responsibilities, time and effort estimates, stakeholder mapping, anticipate barriers, etc.
  • Liaise and coordinate with team members to make sure projects and deliverables are on track to be delivered on deadline; communicate progress and updates as needed
  • Leverage project management best practices, tools, templates and standards
  • Take the lead in supporting Manager, HR Ops & Compliance with setting HR Ops priorities and metrics
  • Streamline People Operations processes, implementing best practices, and increasing efficiencies across the department

HR Operations and Systems

  • Project manage transition of personnel files from paper to electronic; maintain employee personnel files to ensure compliance and maintain accurate records in our HRIS system, developing audit process and checklist to support
  • Serve as lead in troubleshooting challenges within our core HR systems, including ADP and Kronos, building knowledge of the systems as needed and developing training to help employees maximize use of systems
  • Serve as a partner, support, and project lead to Manager, HR Operations & Compliance in HR system design/set-up
  • Lead transactional tasks related to payroll, working closely with the Payroll department to help ensure accuracy in bi-weekly payroll processing
  • Play a lead role in supporting HR-related audit requests and monthly reporting
  • Manage the team’s email inbox, fielding inquiries from employees independently and serving as a liaison between the HR Operations team and employees

Team Management and Support

  • Serve as key representative on behalf of the HR Operations team and Manager, HR Operations on internal committees, sharing updates with the fuller team as needed 
  • Deliver employee onboarding and offboarding process and conduct new hire orientations
  • Support Employee Experience related matters across the org
  • Facilitate and lead team meetings as needed; prep materials and coordinate logistics for meetings and events, such as staff training, as needed
  • Keep abreast of HR best practices that enhance CEO’s work
  • Other duties as assigned

Compensation and Benefits  

The salary range for this position is $50,200-58,000/ annually. In an effort to be both equitable and transparent, CEO's compensation philosophy considers a variety of factors, including, but not limited to, experience, internal equity, and home office location in making a final determination on our salary offer.
