Job Description
- Work closely with line manager to drive progressive change improving administration processes and workplace & employee experience;
- Be the first point of contact for all office/administration matters and take corrective actions when necessary;
- Responsible for end-to-end process of stationery-and-office supply management;
- Responsible for workspace and facilities management functions including day-to-day office administration/operations; workplace health & safety, office system security, inventory management, renovation, expansion, and maintenance;
- Responsible for the arrangements of meetings, conferences, training sessions, occasional & annual events, decorations, foods, accommodations, & logistics where necessary;
- Responsible for office logistics matters such as delivering documents/parcels/supplies to provincial offices;
- Prepare administrative reports and maintain relevant records and database;
- Assist line manager in company’s fixed assets management;
- Coordinate with other offices in other provinces to ensure that offices are well maintained and supporting in supplies distribution as required;
- Coordinate with 3rd party service providers for housekeeping, security, building administration across all offices and warehouses in Laos;
- Work with APAC/regional teams in developing, reviewing, and improving administrative systems, policies, and procedures;
- Perform other ad hoc tasks/projects assigned by line manager or Head of People.
Qualifications
- Ideally 2 years of relevant working experience in office management, administrative responsibilities, or related fields. Inventory and logistics experience is an advantage;
- Minimum bachelor’s degree in business administration, management, or related field;
- Attention to detail, agility for change, ability to multitask & handle agile work set-up;
- Good at computer skills and Microsoft Office Suite / Google Workspace;
- Good command of Lao and English language (spoken and written);
- Self-directed and able to work with minimal supervision while being a good team-player;
- Willing to learn new things and grow and motivated to take additional challenging tasks;
- Excellent time & task management skills and problem-solving skill;
- Can work under pressure in a fast-paced environment;
- Be able to travel to another area outside Vientiane and be flexible in working hours.
