The FMLA/Leave Administrator oversees and administers leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans. This role manages relationships with third party vendors and monitors employee leave periods and updates status in HRIS system.

Key Responsibilities:

  • Serve as the subject matter expert for the leave and workers' compensation programs in alignment and under the general direction and guidance of HR leadership and the legal department.
  • Interpret and administer leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.).
  • Ensure that the workers' compensation program is managed in accordance with applicable OSHA and workers' compensation laws with FMLASource.
  • Communicate with employees regarding their needs for leave and/or modified work schedules.
  • Ensure that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave in concert with FMLASource.
  • Maintain reasonable communication with employees on leave to facilitate smooth and timely return to work and relay communication between employees and their managers during leave within reason.
  • Advise managers and employees on the interaction of leave laws with paid time off, workers' compensation, and short-term and long-term disability benefits.
  • Oversee the return-to-work process for employees returning from extended FMLA, workers' compensation, or other leave(s).
  • Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Preserve confidentiality of employee medical documentation and files.
  • Draft and/or recommend revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Conduct Tier I investigations of alleged fraudulent activity of all leave cases and workers' compensation claims; working closely with the employee relations team to identify, research and resolve matters.
  • Produce and manage reporting metrics and analytics for all leave cases and workers' compensation claims, presenting reports as requested.
  • Perform other related duties as assigned.

Qualifications & Requirements:

  • Bachelor's degree in Human Resources or related field or equivalent work experience.
  • 2-4 years of Leave Administration Experience required
  • SHRM Certification preferred, but not required
  • Ability to communicate clearly and concisely, both orally and in writing
  • Demonstrated ability to maintain strict confidentiality as well as exercise sound judgment
  • Proven success consulting, coaching, and influencing associates and leaders at all levels of the organization
  • Adept at handling multiple competing priorities and responsibilities in a fast-paced, results driven environment
  • Excellent attention to detail and decision-making skills

Salary Band: 06B

This selected candidate will be expected to work Hybrid in Indianapolis, IN. The candidate will also be expected to physically return to the office in CA, WI, IN or ME as business needs dictate or for team-building and collaboration.
