OVERVIEW

The Benefits Administrator will be responsible for directing and planning the day-to-day operations of benefits programs (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, leave of absence, flexible spending plan, retirement plans, employee resources, etc.) Position provides excellent customer service, promotes and administers  benefits plans. Administrator will continue to investigate new benefits programs, improve existing programs, and monitors benefits administration. This position will be located in our corporate office in Beverly Hills. Responsibilities will include, but not limited to:

RESPONSIBILITIES  

  • Conduct new hire orientation and present benefits to newly onboarding employees
  • Develop communication and training tools to enhance understanding of the company’s leave, disability, time off and compensation policies.
  • Responsible for the 401(k) plan including; plan administrator, day-to-day tasks, weekly funding, audit and compliance testing.
  • Recommend and implement new benefits programs. Examine possible plan designs and benefits cost changes.
  • Negotiate with vendors and administrators for best plans, options and rates.
  • Serve as primary contact for plan vendors and third-party administrators.
  • Provide customer service support to internal and external customers. Develop communication tools to enhance understanding of the company's benefits package.
  • Design and distribute materials for benefits orientation, open enrollment and summary plan descriptions. Provide training and support to HR Coordinators and other regional and national staff members.
  • Manage annual open enrollment in conjunction with benefits broker
  • Document and maintain administrative procedures for assigned benefits processes.
  • Conduct company-wide health & welfare presentations with vendors.
  • Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.
  • Coordinate daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, and compliance testing.
  • Manage ACA compliance and approve end of year 1095-C’s for distribution to all team members.
  • Oversee maintenance of employee benefits files, maintain group benefits database and update employee payroll records.
  • Gather employee data and oversee the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans.
  • Allocate group health and dental claims monthly and review quarterly.
  • Analyze current benefits, evaluating the use, services, coverage, effectiveness, cost, plan experience and competitive trends in benefits programs, and identify the company's stance.
  • Perform plan audits and compliance testing. Prepare, collect and organize data for actuarial assessments. Review data in conjunction with actuarial evaluation task forces.
  • Coordinate all QLE (Qualifying Life Events) and supporting documentation including overage dependents in compliance with plan provisions.
  • Run and distribute reports as needed.
  • Uses various means to collect data and report data to other departments within the company.
  • Creates and maintains information systems and databases.
  • Coordinate employee leaves of absences in partnership with third party administrator by providing employee guidance, communication, and updating systems as needed
  • Administer worker’s compensation in partnership with third party administrator, work closely with adjusters to ensure injuries move along the process in a smooth manner
  • Obtain medical certifications and re-certifications in a timely manner.
  • Track FMLA time used on a rolling calendar year and coordinate the use of leave time with the payroll process.
  • Ensure proper handling of benefit plans during leaves of absence and employee premium repayments while creating and maintaining proper reimbursement procedures.
  • Interface with the Payroll & Finance on repayments of premiums and track accordingly.
  • Work with management staff to determine return to work and engage in the interactive process, if necessary.
  • Design and distribute materials for benefits orientation, open enrollment and summary plan descriptions.
  • Provide training and support to HR Coordinators and other regional and national staff members.

QUALIFICATIONS

  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, Medicare, and Social Security and DOL requirements.
  • Excellent communication and organization skills.
  • Computer proficiency and technical aptitude with the ability to use Microsoft products, including Excel and PowerPoint; experience with HRIS and benefits databases.
  • Project and team management/leadership skills and experience.
  • Proven ability to work effectively in a team environment with associates.
  • Effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
  • Experience with multi-state compliance and benefits programs.
  • Strong analytical skills and a thorough knowledge of plan designs.
  • Ability to understand, evaluate and make judgment on proposals (RFPs).
  • Knowledge of benefits contract language.
  • Bachelor's degree in human resource management or related field, and three to five years of related benefits or employee benefits administration experience.
  • Experience managing leave of absences.
