Summary

This position is responsible for a variety of functions related to the bill payment and document organization for affluent clients. Duties include: performing various accounts payable functions for clients with a bill pay contract through Family Office Services. Position will assist Financial Planners, Para Planner, Accountants and be responsible for managing the office and employees. This position requires you to be in the office daily.

Key Responsibilities

-The FOS Bill Pay & Operations Manager is a highly motivated self-starter willing to develop, implement and maintain operational systems that respond promptly and professionally to client customer service needs and oversees day-to-day bill payments with accurate and timely record keeping. Areas of focus include receive and organize incoming mail; pay client bills; troubleshoot issues and questions with client bill payments; file documents electronically; receive, organize, file and research receipts for accounting team. Accuracy and attention to detail is extremely important.

- The FOS Bill Pay & Operations Manager will enter client data in Wealth Management System and BILL; work with Para Planner to onboard new bill pay clients; assist with annual compliance review and audit; back up for client birthday and anniversary cards, monitor and order office supplies as needed, and provide back-up for the Para Planner.

- The FOS Bill Pay & Operations Manager will also support the department with other initiatives as determined by the Family Office Services Manager. Duties may include assignment of special projects, scanning, preparing spreadsheets, disseminating material and phone coverage.

Qualifications Include:

-Some college required and/or minimum of 5-7 years working experience in a related field.

-Above average computer skills are required.

-Prior management experience of 1-2 years

-Excellent verbal communications

-High level of accuracy and quality

-Ability to work with little or no supervision and work as a team member.

-Proficiency with PC based special applications, knowledge of QuickBooks and/or Bill.com a plus

-Work under pressure and deadlines

-Strong organizational and follow-up skills
