POSITION SUMMARY
Process purchase orders and renewal notices received from the customer. Enter, process, and distribute customer invoices based on a variety of information received.
ESSENTIAL RESPONSIBILITES
- Process purchase orders and renewal notices received from the customer.
- Set up and Maintain Customer records in invoicing database
- Entry and maintenance of billing data into invoicing database
- Interpret customer contracts and billing accordingly
- Prepare invoices for time, materials, and service calls
- Distributes to customer via email or mail
- Provide requested information and documentation regarding customer invoices
- Process tax exemption certificates, update tax status, and re-bill customer if necessary.
- Research returned mail and make changes as needed.
- Research information reported by technician and call center. Make necessary changes to customer or equipment records.
- Generate the Warranty Agreement billing by:
- Process the shipping/warranty report, and
- enter new customers/equipment into the invoicing database.
- Assist Contract Accounting Manager with special projects as needed.
- Run reports and prepare spreadsheets.
- Consistent and regular attendance to job duties.
- Other duties as assigned.
REQUIREMENTS
- Education and Experience:
- Minimum of a year of data entry and office experience.
- High school diploma or general education degree (GED)
- OR Equivalent combination of education and experience.
- Successful demonstrated experience in customer phone calls and business email etiquette.
- Demonstrated experience in accurate and timely data entry.
- Excellent interpersonal written and oral communication skills.
- Ability to perform intermediate functions proficiently in Microsoft Outlook and Excel, including attachments, pivot tables, and basic formulas.
- Ability to review documents to understand requirements.
PREFERENCES
- Prefer a 2year degree in business.
