Job Summary:

Putnam is looking to hire a billing manager (temporary position). This role plays a crucial role in ensuring the efficient management of accounts receivable (AR) processes and facilitating effective communication between various departments within the organization. The primary responsibility of the Billing Manager is to oversee the AR email inbox and related Asana workflow, handling SOWs, POs, client inquiries, and project updates.

This position is a temporary role for 6-9 months. There is a possibility of extension depending on business's needs. This position is a paid position.

Key Responsibilities:

  1. AR Email Inbox and Workflow Management:
    • Be the primary point of contact for the business and out clients on all invoicing matters.
    • Monitor the AR email inbox regularly to receive SOWs and POs.
    • Efficiently organize and file received SOWs and POs in the project management system.
    • Proactivity initiate requests to Partners and Principals in the US and Europe for missing project documentation.
    • Ensure efficient and timely resolution of requests.
  2. Client Inquiries and Communication:
    • Respond promptly to client inquiries related to account balances and payment information.
    • Provide clients with accurate and detailed information regarding bank account details, payment application instructions, and any other relevant information.
    • Coordinate with Finance Teams and Shared Service Centers to obtain necessary information.
  3. PO Tracking:
    • Actively follow up with Partners, Principals, Project Managers (PMs) and clients to obtain Purchase Orders (POs) when they have not been received as required.
    • Maintain a record of PO requests and follow escalation procedures.

Qualifications:

  • Proven experience in billing, accounts receivable management, or a related financial role.
  • 3-5 years' experience minimum 
  • Familiarity with financial software and tools.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with a high level of accuracy.
  • Ability to work independently and as part of a team.
  • Proficiency in using email and project management tools, such as Asana.
  • Knowledge of project tracking systems is a plus.
  • Customer-focused mindset with a commitment to providing exceptional client service.
