About the Role
This role is temporary due to a seasonal increase in volume - the end date for this role is projected to be June 2023. Any extension of this project is not guaranteed and will be discussed if and when the continued need arises.
The main purpose of the Billing Associate is to support the accounts receivable function by generating invoices and ensuring delivery to the clients in a timely manner. This individual will monitor payments and escalate late payments and outstanding debt to relevant collections stakeholders while providing guidance, direction, and service to clients to complete payments and transactions in a timely manner. This role leverages data from multiple sources and internal/external systems to verify, validate, and ensure the accuracy of invoices and billable hours/services.
Responsibilities & Duties

• Prepare, post, verify, and record customer payments and transactions related to accounts receivable
• Create invoices according to company practices; submit invoices to customers
• Maintain and update a growing ledger of 400+ customer files across multiple industries and geographies
• Execute timely and accurate billing of all direct and indirect customers
• Develop processes and systems to actively monitor and measure outstanding debt and reduce overdue debts while providing exceptional service levels to prevent client turnover
• Draft correspondence for standard past-due accounts and collections, identify delinquent accounts by reviewing files, and contact delinquent account holders to request payment
• Drive implementation of new processes and workflows to ensure continued scalability for Indeed Flex
• Seek opportunities to improve existing processes and workflows to resolve queries, open support issues, and eliminate gaps in our workflows that pose risks for collections and timeliness of payment
• Receive, sort, and track incoming payments and ensure proper notation of internal accounting systems
• Issue receipts for received payments
• Apply amendments and adjustments to customer account details when necessary
• Raise credit note requests where appropriate and support other relevant ad hoc duties
• Ensure the security and privacy of all client data and payment information
• Perform periodic reporting of billing and collection progress

Requirements

• Minimum of two (2) years of relevant experience in billing, accounts receivable, invoicing, collections, or related role
• Highly proficient with technology - we are a tech company disrupting the staffing industry with novel ideas and technology/data-driven solutions; every employee should understand, love, and get excited about tech
• Highly proficient with Office or Google suite of software, Slack, Salesforce, and ACP with an advanced level of knowledge with Excel/Sheets
• Ability to work cross-functionally and collaborate with various teams in the organization
• Firm understanding of basic Finance & Accounting principles and regulations, with a curiosity and drive to shape new solutions and processes to adapt to changing factors such as new clients, industries, geographies, etc
• Previous experience in an organization with a revenue stream driven by B2B transactions, preference for experience with a Marketplace, SaaS, or Staffing/Consulting offering
• Exceptional collaboration and interpersonal skills - you will love to learn, teach, and support the team in an open exchange of ideas and knowledge to improve the capabilities and effectiveness of one another proactively
• Highly proficient with various finance/ERP systems: SAP, Salesforce, NetSuite, etc
• Proven organizational skills, with high attention to detail, critical thinking skills, and a strong personal commitment to meeting deadlines
• Preference for individuals who are currently located in Austin and able to attend the office at least two (2) days per week; work-from-home/remote exceptions may be made for a highly exceptional candidate
