Job Description:
Description: The Board Administrator expertly coordinates and administers activities related to the Board of Managers and related committees of JPS Health Network. The Board Administrator is responsible for planning meetings, generating reports, archiving and preparing materials, conducting research, communicating with board members regarding related activities. The Board Administrator will work closely with executive leadership and staff to meet organizational goals. Additionally, this role serves as the primary resource for tasks related to maintaining document control and tracking of special projects related to the Board of Managers.
Typical Duties:
- Serves as project coordinator for related projects and obligations to the Board of Managers.
- Manages correspondence (written, verbal, and electronic) for Board of Managers and committees.
- Establishes working relationship with the Board of Managers in verbal, written, and electronic correspondence.
- Assists with special projects and performs other related functions delegated or assigned.
- Plan board meetings, including time, date, location, and invitations to attendees and appropriate follow-up on board meeting RSVPs.
- Prepares and distributes meeting agendas and documents ahead of meetings.
- Creates, updates, distributes and files Board communications and documentation.
- Keeps minutes of Board meetings during meetings as well as maintains electronic copies of all minutes in compliance with audit requirements, including preparation and tracking of all Board related agenda, resolutions and activities during meetings in conjunction with the Chief Legal Counsel.
- Plans, coordinates, and arranges Board of Director/committee meetings including assisting in drafting agendas, reserving facilities, arranging catering, etc. if needed.
- Assists with creation, disbursal and storage of board booklets.
- E-mails BOD reminders and adds calendar notification.
- Maintain the most recent version of the By-Laws, enforce the By-Laws, polices, resolutions and procedures.
- Post and update meeting materials and board approved documents on the board portal and related websites.
- Assist with the preparation of Commissioners Court Communication, for documents that need to be approved by Tarrant County Commissioners Court.
- Assist with the preparation of resolutions, reports and other official documents.
- Prepares and distributes meeting materials/booklets for in person meetings in conjunction with the Chief Legal Counsel and assigned staff.
- Creates meeting(s) timeline, prepare and distribute meeting notification, correspondence, and agenda materials in coordination with the Chief Legal Counsel.
- Facilitates the development, tracking and reporting of project information and performance initiatives for ice Projects related to Board of Managers as assigned.
- Maintains and analyzes board project schedule and prepares regular status reports for management and key stakeholders.
- Maintains a positive responsible attitude for the department activities as well as their own work. Conducts everyday operations with minimal supervision or guidance.
- Provides exceptional customer service in conversations, follow-up and follow through; responds in a timely manner for any requests, phone calls and emails; exercises attention to detail for information given and received.
- Performs other related job duties as assigned.
Qualifications:
- Required Education and Experience:
- High School Diploma, GED or Equivalent
- 4 years of experience with board administrative duties OR
- 8 years of equivalent experience.
- Bachelor's Degree preferred
