Reports to the Marketing Manager

The purpose of this position is to support the growth of the business through delivering administrative support to the Business Development and Marketing team. The Business Development and Marketing Administrator will work closely with the Business Development and Marketing team across all jurisdictions, supporting them with their everyday activities including Request for Proposals (RFPs), CRM system management, conference logistics, data and document management, market research, direct market campaigns, presentations and meetings with prospective clients.

This role will involve the management and on-going maintenance of our CRM system and it is essential that the candidate has excellent attention to detail, a proactive approach and the ability to identify improved ways of working. The candidate will need to collaborate extensively with colleagues and partners in other departments across the Group. Excellent organizational skills, time management and attention to detail will be key and the candidate will be expected to maintain and further develop a library of business development tools for a multi-product/multi-jurisdictional business, working closely with the team to achieve this.

Key responsibilities:

  • Creation of fee proposals and update internal Business Development templates 
  • Assist with preparation of Request for Proposals
  • Prepare presentation documents to be consumed by clients and intermediaries
  • Updating the system with new contacts and Business Development and Marketing activity
  • Creating and running reports to aid the Business Development team and the wider group with their Business Development activity
  • Managing the US enquires inbox
  • Maintain and update CRM system with pipeline opportunities and data integrity
  • Saving documents and organising Business Development resources within the data management system
  • Market research and marketing campaigns 
  • Prepare and draft content, obtain sign-off and publish on the relevant media channels, including the website, social media, e-shot and the intranet
  • Working with the marketing team to ensure stock levels of brochure ware and collateral are maintained
  • Support with the coordination of marketing activities and initiatives across the Group
  • Research and contributing to event planning by arranging logistics related to event, tracking attendance and co-ordinating suppliers
  • Assist with the delivery of sponsorships, including the co-ordination of attendance, collateral, promotional activity, branding and merchandise
  • Ad-hoc tasks and project work as required

Skills, knowledge and expertise:

  • Relevant qualifications in marketing or finance are advantageous but not essential
  • CRM system experience is preferred 
  • Ability to put together proposal documents to a high standard 
  • Strong Microsoft Office skills (Word, Excel, Powerpoint)
  • Collaborative and team-based approach  
  • Excellent organisation and time management skills  
  • A proactive approach to tasks with attention to detail 
  • Confident and clear communication skills
  • Good interpersonal skills are required to develop close working relationships with colleagues, clients and third party-suppliers
  • Ability to work on numerous projects simultaneously
  • Relationship and sales experience are beneficial

This role may require occasional travel to support with the events and sponsorship programme.
