The Business Development & Marketing Operations Specialist provides administrative support to the Chief Business Development and Marketing Officer (CBDMO) and is responsible for working with the Director of Client Service to manage the day to day operations of the Marketing, Communication and Business Development (MCBD) department. This role is responsible for facilitating efforts to build and maintain a workplace culture that fosters purposeful presence and sharing of information. The Business Development & Marketing Operations Specialist works under direct supervision and relies on instructions to perform the essential functions of the job.
As a Business Development & Marketing Operations Specialist you will:
- Collaborate with the MCBD senior team and Finance to manage the department budget, including monitoring department expense accounts, reviewing monthly budget variances, summarizing findings and proactively working with leadership to ensure thoughtful management
- Create and submit MCBD expense reports and oversee the vendor payment process, including setting up new vendors, reviewing invoices, preparing check requests to issue payments and tracking the payments
- Assist the CBDMO with scheduling meetings, meeting documentation and follow up, and project management
- Coordinate onboarding for MCBD new hires, including implementing and improving the process, organizing orientation calls, maintaining key resources, and developing a new portal with video trainings
- Provide administrative and logistical support for department meetings, trainings, and events, including soliciting and tracking agenda topics; booking conference rooms and catering; arranging videoconferences; sending out event meeting requests; and preparing meeting materials and related communications
- Support aspects of onboarding new attorneys, including tracking and scheduling professional photo shoots with each office and the photographer
- Prepare presentation materials including scheduled reports and coordinate the production of final documents
- Maintain MCBD-focused resources and manage the day-to-day flow of information across the department as needed, including managing the MCBD Microsoft Teams channel to ensure quality control and proper maintenance of key documents and maintaining email distribution lists
- Assist on special projects as needed to support senior leaders in the MCBD department
Job Specifications:
- Bachelor's Degree
- At least four (4) years of related work experience
- Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, Word, and Teams)
- Strong written and verbal communication skills, including ability to liaise with attorneys, chief officers, and across departments
- Strong organizational skills and attention to detail
- Ability to project manage, work under tight deadlines and prioritize responsibilities
- Ability to work effectively in a fast-paced environment
- Interest in operations and process improvement
- Ideal candidate is a self-starter and keen problem solver
