Job Summary

Reports to the Accounting Manager, processes accounts payables and receivables, and initiates and obtains approvals for purchases. Prepares and posts monthly journal entries. Prepares various financial reports (on a daily, weekly, monthly basis), account reconciliations and analysis, and special projects as needed. Works collaboratively in the department with accounting staff and the Accounting Manager, department directors and other members of the healthcare team. Works both efficiently and accurately, prioritizes multiple assignments, and responds to numerous requests. Maintains fixed assets, prepares and reconciles journal entries, bank reconciliation and monthly financials.

Job Details

Responsibilities:

  • Obtains proper approval and matches invoices with codes, enters invoices to general ledger system, and produces and disburses checks.
  • Codes and enters receivables to the General Ledger system, prepares monthly reconciliation, sends out monthly invoices, and makes collection phone calls on overdue accounts.
  • Initiates purchasing process with the issuing of purchase orders; obtains proper approvals for all purchases; analyzes purchase options for best price and quality; places all orders; shelves and maintains adequate inventories; and develops relationships with vendors to ensure best price is received.
  • Prepares and reconciles journal entries for month end process and enters journal entries into general ledger system and post entries.
  • Maintains tax basis depreciation and GAAP basis depreciation.
  • Tags and enters all new assets into fixed asset module of general ledger.
  • Prepares quarterly review of fixed assets for disposal, and inventory.
  • Reviews expense accounts in conjunction with preparation of monthly financial statements, analyzes variances between actual and budget and actual and expected, and completes all daily, weekly and monthly financial reports with accuracy by their established submission deadlines.
  • Completes analytical review, which supports the functions and activities of the Cleveland Clinic Health System specific to capital projects and general fixed asset management.
  • Coordinates monthly close schedules as related to accounts payable and accrued expenses and employs information systems to ensure efficiency of the accounting process.
  • Reconciles bank statements, maintains cash position throughout month, instructs all customers to remit to lockbox, and prepares daily deposits and the associated journal entries.
  • Maintains data listing of daily deposits and answers queries regarding such deposits.
  • Distributes, records, and replenishes petty cash fund and prepares monthly state sales tax returns.
  • Prepares monthly financials from the General Ledger system for review by Finance Manager.
  • Prepares Corporate Financial Statements for distribution to management upon approval of financials and acts as liaison between Finance and the management team.
  • Manages required accounting, reconciliation, and maintenance of on-going property accounting subsidiary ledgers and concerns.
  • Prepares and communicates analysis on a routine and ad-hoc basic to management.
  • Participates in annual physical inventory audits by validating counts by departments.
  • Organizes and files relevant project and general fixed asset documentation and procedures as required.
  • Coordinates and reconciles the billing of third party funded construction projects.
  • Maintains complete and up-to-date documentation and files, including product and service quotes.
  • Other duties as assigned.

Education:

  • BS/BA preferred.

Certifications:

  • None required.

Complexity of Work:

  • Requires critical thinking skills, decisive judgment, and the ability to work with minimal supervision.
  • Must be able to work in a stressful environment and take appropriate action.

Work Experience:

  • One to three (1-3) years' experience with accounts payable, accounts receivable, blank reconciliation, general ledger, and financials.
