Certification Assistant- Merrimack, NH. Full Time 40 hours a week- Monday-Friday $18.50/HR
Mission
The primary mission of the Certification Specialist is to ensure compliance with all federal, state and agency regulations in order to provide the best quality of care to the individuals served by the agency and ensure continued funding of individuals’ programs. This involves: performing inspections and quality assurance documentation reviews of residential and day program records; serving as liaison to all regulating local, regional and state entities; and overseeing the certification process while providing direction and assistance to staff and providers regarding certification compliance. The person holding this position also participates on state-wide committees and work groups.
Responsibilities
- Performs inspections and quality assurance reviews
• Conducts comprehensive reviews of all program records for compliance with state regulations
• Inspects individuals’ homes, determines compliance with state safety regulations and assesses the appropriateness of placements based on individuals’ needs, relative to certification requirements
• Helps coordinators and project directors establish new and emergency placements
• Serves as liaison to all regulating bodies
• Coordinates fire safety inspections with local fire departments to ensure compliance with all state and local fire codes and safeguard clients in their homes
• Coordinates state inspections with DHHS personnel and service providers
• Attends state inspections with DHHS personnel at individuals’ homes or day programs
• Ensures that documentation in the certification process is disseminated to all appropriate parties
• Updates changes to our professional liability insurance and makes sure insurance is current and adequate re: Aspire requirements
• Assists DHHS personnel in reviewing current regulations; attends DHHS trainings and in-services as needed
• Oversees the certification process and provides direction/assistance to staff and providers regarding certification compliance
• Reviews with project directors, coordinators, nurses and providers DHHS regulations and any changes to current policies
• Completes all agency certification documentation required for the certification process including applications, certification tools, corrective actions plans and program closures
• Completes pre-cert review, reviewing all documentation books and touring the home for certification compliance and quality service provision
• Prepares a pre-cert “to do” list and consults with project directors, coordinators, providers and staff in completing those activities
• Is present during the actual certification process to answer questions, introduce parties, facilitate relationships to promote a collaborate, constructive (not defensive/blaming) process, and address issues in the short run when possible
• Forwards Community Residential Certificates and Final Reports to coordinators and/or project directors following completion of the certification process; keeps centrally all originals and important correspondence
• Retrains staff and writes up a report to summarize any medical issues; reviews the nurse’s write-up of the corrective plan of action and if necessary, discusses the plan with them
• Reports to NH Senior Management Team regarding significant certification issues and results
• Archives all program records
• Provides general, state-wide support to the agency
• Serves on various committees as requested by state directorÂ
• Attends clinical and management meetings as needed
• Participates in quarterly nurse’s meetings
• Trains coordinators on certification or other requirements as needed
• Works collaboratively with all staff and providers and external partners -demonstrates a constructive, “team player” approach, joins with staff and providers in a way that facilitates the functioning individual team members as well as supportive, coordinated teams
