Charitable Giving Specialist-Admin
Job Description
The Charitable Giving Specialist plays a vital role in supporting the Private Foundation Administration and Donor Advised Fund teams and supporting/facilitating the grant making activities of private foundations. This position involves collaborating closely with internal relationship teams, conducting thorough reporting, and ensuring efficient and effective grantmaking. The successful candidate will demonstrate exceptional organizational skills, attention to detail, and a strong understanding of philanthropy. This person will have the unique opportunity to create systems for the newly created Private Foundation Administration offering and network with partners around the country, serving clients at Northern Trust.
Major Duties
• Coordinate the administration for private foundation accounts in order to provide an exceptional experience for partners and clients.
• Provide administrative support to donor advised fund product
• Play integral role in launch of new software and service model for administering private foundations, coordinating project and managing timeline for launch.
• Assist with accurately and thoroughly addressing requests from internal and external sources in shared email inbox and phone lines, as it relates to foundation administration and the donor advised fund.
• Primary responsibility for preparing reports and meeting materials in advance of client meetings.
• Serve as main point of contact with private foundation administration vendor to troubleshoot partner and client access issues.
• Responsible for coordinating logistics in advance of client meetings and site visits.
• Conduct research and prepare reports on nonprofit organizations in alignment with client interests.
• Participate in creation and maintenance of program collateral.
• Responsible for documenting private foundation administration processes and updating library of resources.
• Support account opening, onboarding, grant making, and maintenance of private foundation administration platform and donor advised funds. Ensure accuracy of records and access levels in relevant systems.
• Identify service efficiency enhancements, process improvements, and service delivery
using creative and proactive measures.
Knowledge and Skills
• Analytical, problem solving, and organizational skills required to identify, manage and escalate risks and issues.
• Practical knowledge of private foundations is highly desired, as is experience with both individual and institutional clients.
• Proficient in using relevant software applications, including Microsoft Office Suite (Word, Excel, PowerPoint), grant management systems, and databases.
• Ability to assess grant proposals, conduct due diligence, and evaluate the impact and effectiveness of funded programs.
• Excellent interpersonal and communication skills to establish and maintain strong relationships with internal stakeholders, clients, and external partners.
• Proficient in data analysis, report generation, and performance measurement to inform decision-making and track the impact of grant-making activities.
• Strong organizational skills and meticulous attention to detail to manage multiple tasks, deadlines, and administrative responsibilities is a must.
Experience
• Minimum of 3-5 years of experience in private foundation administration, philanthropy, or related fields, preferably within the financial services industry and/or with client service background. Demonstrated experience in grantmaking, relationship management, and compliance highly desired.
• Background and understanding of private foundations highly desired.
• Demonstrated success in small team environment to collaborate across teams to support and develop business.
• Ability to understand complex issues and navigate/escalate effectively.
• Demonstrated commitment to maintaining the highest ethical standards, integrity, and confidentiality in handling sensitive information.
• Excellent written and verbal communication skills, with the ability to convey complex information in a clear and concise manner.
