Remote - Eastern Time Zone Only

Pay: $95,000 - $117,000 DOE

Job Summary:

The Chief of Staff provides high-level administrative support to the CEO and to other company executives as needed.  Conducts research, prepares statistical reports, responds to requests for information, prepares and proofreads correspondence, arranges conference calls, schedules meetings and events, and performs other duties as directed by the CEO. 

Duties/Responsibilities:

  • Assists the CEO in the management of the CEO’s schedule.
  • Schedules and organizes complex activities such as meetings, travel, and department activities for the CEO.
  • Works independently and within a team on special and nonrecurring and ongoing projects.
  • Acts as a project manager for special projects at the request of the CEO, which may include: planning and coordinating multiple presentations, disseminating information, and organizing companywide events.
  • Designs forms, charts, multimedia presentations, creates visual presentations, writes and edits communications and other materials, for the CEO and other executives.
  • Prepares reports, memos, letters, financial statements charts, tables, graphs, business plans, notices, corporate minutes, resolutions, and other documents.
  • Performs general office duties such as ordering supplies, maintaining records management systems, answering calls, and performing basic bookkeeping work.
  • Prepares meeting agendas and makes arrangements for committee, board, and other meetings.
  • Leads meetings, takes meeting minutes, follows up on action items, including providing support and/or management to ensure timely completion of those action items.
  • Coordinates the handling of sensitive and confidential matters based on general directions from company management officials. Keeps all sensitive materials secure and confidential at the highest level.
  • Reads, analyzes, and sorts incoming correspondence, memos, and submissions, determines their priority, and distributes them to appropriate company officials.
  • Promptly notifies the CEO of high-priority matters that may arise.
  • Independently handles routine matters; prepares responses to correspondence containing routine inquiries.
  • Files and retrieves corporate documents, records, and reports.
  • Screens calls and directs them to appropriate personnel.
  • Attends and actively participates in management tasks such as Staff meetings, HR meetings, Strategic planning, Safety meetings, etc.
  • Performs other duties as assigned by supervisor.

Education and Experience:

  • Bachelor’s degree in a business-related field
  • Minimum five years of work experience as an executive assistant or equivalent education
  • Five years of full-time equivalent experience in MS Word, Excel, Teams, Outlook and PowerPoint
  • Experience managing professional social media required (management of a businessperson's or a businesses' social media)
  • Solid project management experience required
  • Possession of a valid driver’s license

Physical Demands:

  • The working environment is subject to pressure for multiple calls, inquiries, and interruptions.
  • Hearing: perceiving the nature of sound by ear.
  • Lifting: raising or lowering objects weighing no more than 10 pounds, from one level to another.
  • Mental Demands: mathematical reasoning, memorization, oral comprehension, spatial orientation, and written comprehension.
  • Sitting: remaining in the normal seated position.
  • Stooping: bending the body by bending the spine at the waist.
  • Talking: expressing or exchanging ideas by means of spoken words.
  • Vision Near acuity: ability to see clearly at 20 inches or less
  • Working indoors in environmentally controlled conditions, and outdoors in different project as needed.
  • Working in close proximity to other people.
  • Occasional exposure to sun, fertilizer and agricultural chemicals.
  • Occasionally working in hot, cold or humid greenhouse environments.
